What is the Drop List Report (CLA-5)?

The Drop List Report (CLA-5) displays all enrollments that were dropped or transferred during a specified date range. It includes the class, student, enrollment type, drop type, drop reason, dates, instructor, and any drop notes. Administrators can apply multiple filters to refine results and export the report in several formats.

The Drop List Report provides a record of enrollments that were dropped or transferred during a specified date range. The report includes:

  • Class name
  • Student name
  • Enrollment type
  • Drop type
  • Drop reason
  • Start date and end date
  • Instructor(s)
  • Any drop notes

Enrollment Types

  • Active (A)
  • Makeup (M)
  • Single Day (S)
  • Trial (T)
  • Wait (W)

Drop Types

  • Drop (D)
  • Transfer (T)
  • Wait (W)

Additional Notes

  • Filters related to enrollments return results based on the Start Date and End Date selected.
  • If you frequently use the same filter combinations, you can save them as Preset Filters and load them any time.
  • After loading a preset, select your date range and generate the report in the desired format.

  1. From the main navigation menu, go to Reports.
  2. Select CLA-5 Drop List from the list of Class reports.

Step-by-Step Instructions

Apply Available Filters

General Filters

  • Start Date / End Date
    • Limits the report to enrollments dropped/transferred within the selected range.
    • If left blank: Start Date defaults to the current date, and Drop Date remains NULL.
  • Enrollment Type
    • Determines which enrollment types are included.
    • Defaults to Active if unchanged.
    • Options include:
      • All
      • Active (A)
      • Wait (W)
      • Trial (T)
      • Makeup (M)
      • Single Day (D)
        • The label for this option reflects the Single Day Enrollment Label under Settings > Setup > Class Settings > General Class Settings.
  • Drop Type
    • Limits the report based on how the enrollment ended.
    • Options include:
      • All
      • Drops (D)
      • Transfers (T)
  • Class Status
    • Active — includes only dropped enrollments for classes marked “Active.”
    • Inactive — includes only dropped enrollments for classes marked “Inactive.”
  • Choose Program
    • Limits results to classes within selected Programs.
    • Leaving blank includes all Programs.
  • Choose Class Level
    • Limits results to selected Class Levels.
    • Leaving blank includes all levels.
  • Choose Instructor
    • Limits results to selected instructor(s).
    • Entries are only included if the instructor was associated with the relevant enrollment during the selected date range.
    • If an instructor was deleted after the start date, entries prior to deletion still appear.
    • If an instructor was created or attached after the end date, they are not included.
  • Choose Family Keyword
    • Limits results to families with specified Family Keywords.
  • Choose Student Keyword
    • Limits results to students with specified Student Keywords.
  • Choose Class Keyword
    • Limits results to classes with specified Class Keywords.
  • Choose Program Keyword
    • Limits results to classes associated with selected Program Keywords.
  • Choose Drop Reason
    • Limits results to enrollments with selected Drop Reasons.

Display Options

  • Show Inactive Instructors
    • Includes instructors whose staff profiles are marked “Inactive.”
    • Entries follow the same behavior as noted under Choose Instructor.
  • Show Enrollment Notes
    • Includes any enrollment notes attached to the dropped enrollment.
  • Sorting Options
    • Drop Date — chronological
    • Instructor — alphabetically by class instructor
    • Start Time — chronological by class schedule

Troubleshooting & FAQs

  • Why are some instructors not appearing on the report?
    • Instructors only appear if they were associated with enrollments during the selected date range. Deleted instructors show results up to their deletion date; instructors added after the date range will not appear.
  • Why am I not seeing Single Day enrollments?
    • The label for Single Day may be customized. Confirm the configured “Single Day Enrollment Label” under SETTINGS>SETUP>CLASS SETTINGS>GENERAL CLASS SETTINGS.
  • Why does the Start Date default to today when left blank?
    • The system automatically defaults the Start Date to the current date when no value is provided.
