What is the Family Mailing Labels Report (FAM-10)?

The Family Mailing Labels Report (FAM-10) generates mailing labels for families in your database. Staff can use this report to create preformatted Avery 8160 mailing labels based on enrollment status, location, program, keyword, class, camp, appointment, and referral source filters. 

Overview

The Family Mailing Labels Report generates mailing labels for families in your database. The report formats labels for Avery 8160 labels, which use 1" x 2-5/8" rectangular labels on an 8-1/2" x 11" sheet, with 30 labels per page.

Use this report when you need to print mailing labels for families who match specific enrollment, class, camp, appointment, keyword, program, location, or referral source criteria. Enrollment-related filters return results based on either the selected As Of Date or the selected Advanced Active/Inactive Search date range.

Important Notes

  • Enrollment-related filters reflect results that are accurate as of the day the report is generated.
  • If you frequently use the same filter settings, they can be saved as Presets for quicker access when running the report again.
  • Changing the date range of the report after making any Pre-filter selections may cause some selections to become invalid. These selections will not be reflected on the final report.

Using Preset Filters

If you commonly use the same filters when running this report, you can save them as Presets. Load a Preset Filter when you open the report page, set your date range, and generate the report in the preferred format.

Step-by-Step Instructions

General Filters

  • Use As Of Date to find families based on enrollment status as of a specific date.
    • If using As Of Date, select the appropriate enrollment status.
      • Currently Enrolled (Active) — includes families/students with an "ACTIVE" type enrollment in classes/camps on the As Of Date, regardless of past or future enrollment status
      • Enrolled in the Future (Only) — includes families/students without a current "ACTIVE" type enrollment in classes/camps on the As Of Date, but with an "ACTIVE" type enrollment after that date
      • Previously Enrolled (Only) — includes families/students without a current "ACTIVE" type enrollment in classes/camps on the As Of Date, but with an "ACTIVE" type enrollment before that date
      • Never Enrolled — includes families/students with no recorded "ACTIVE" type enrollments in classes/camps
  • Use Advanced Active/Inactive Search to find families based on active or inactive enrollment activity within a date range.
    • If using Advanced Active/Inactive Search, select the enrollment types to include.
      • Include Class Enrollments — includes only families with "ACTIVE" type class enrollments during the selected date range or on the selected As Of Date
      • Include Camp Enrollments — includes only families with "ACTIVE" type camp enrollments during the selected date range or on the selected As Of Date
      • Include Appointment Bookings — includes only families with appointment bookings scheduled to meet during the selected date range or on the selected As Of Date
    • Any/All: If any combination of class, camp, or appointment enrollments/bookings are selected, choose whether families must meet any or all selected criteria.
      • Any — includes families with either class enrollments or camp enrollments
      • All — includes families with both class enrollments and camp enrollments
  • Select the Enrollment Type Status options to include.
    • Active
    • Single Day
    • Make Up
    • Trial
    • Wait List
  • Locations
    • If one or more Locations are selected, the System includes only families with enrollments associated with the selected location(s).
  • Select the Class/Camp Status options to include.
    • Active — limits the report to families with enrollments in classes/camps currently marked "Active"
    • Inactive — limits the report to families with enrollments in classes/camps currently marked "Inactive"
  • Instructor
    • If one or more Instructors are selected, the System includes only families with enrollments in a class associated with the selected instructor(s).
  • Program
    • If one or more Programs are selected, the System includes only families with active enrollments in classes/camps assigned to the selected program(s), based on the selected status filters.
    • Leaving this filter blank includes all programs.
  • Family Keywords — includes only families associated with the selected family keyword(s) and who meet the selected status filter criteria
  • Student Keywords — includes only families associated with the selected student keyword(s) and who meet the selected status filter criteria
  • Program Keywords — includes only families with enrollments in classes/camps associated with the selected program keyword(s) and who meet the selected status filter criteria
  • Class Keywords — includes only families with enrollments in classes associated with the selected class keyword(s) and who meet the selected status filter criteria
  • Camp Keywords — includes only families with enrollments in camps associated with the selected camp keyword(s) and who meet the selected status filter criteria
  • Appointment Keywords — includes only families where at least one student in the family has a booking for an appointment with the selected appointment keyword assigned
  • Select a Referral Source, if needed.
    • The family must have the selected "Referral Source" associated with the family account.
    • Leaving this filter blank includes all families.
  • Select the Sort Order.
    • Family Name
    • ZIP Code

Class/Camp/Appointment Filters

  • Pre-filter: Use the Pre-filter to limit the results of the Choose Class/Camp filter or filters.
    • This filter only affects the options shown in the Choose Class/Camp filter or filters.
    • If specific classes or camps are chosen, those selections will affect the data shown on the final report.
  • Choose Instructor: Select one or more Instructors to limit the Choose Class/Camp filter or filters to only show classes or camps associated with the specified Instructor or Instructors.
    • If an instructor was deleted after the start date of the report, the results will include relevant entries for the instructor on the date or dates before they were deleted.
    • If an instructor was created or attached to an event after the end date of the report, the instructor will not be included in the results.
  • Choose Class — includes only families with an active enrollment in the selected class, as determined by the Advanced Active/Inactive Search or As Of Date
  • Choose Camp — includes only families with an active enrollment in the selected camp, as determined by the Advanced Active/Inactive Search or As Of Date
  • Choose Appointment — includes only families with an active booking for the selected appointment, as determined by the Advanced Active/Inactive Search or As Of Date.

Generating the Report

  • Select your desired export format (such as HTML or PDF) at the bottom of the report.
  • The System will immediately generate the report in the selected format.

Understanding Filter Behavior

Advanced Active/Inactive Search

Enable Advanced Active/Inactive Search to enter date ranges for active and/or inactive enrollment activity.

  • Active Date Search — families must have had an active enrollment within the specified date range
  • Inactive Date Search — families must have been inactive within the specified date range

Leaving both options enabled means that both statements must be true. The family must have been active within the selected active date range and inactive within the selected inactive date range.

Camp Enrollment Date Handling

Camp enrollments count as ACTIVE for the full period between the first selected camp block and the last selected camp block.

For example, if a student enrolls only on May 5 and May 8, the System considers the enrollment active from May 5–May 8. This also includes May 6 and May 7.

Keyword Filter Behavior

Leaving a keyword filter blank includes all families for that filter type. Selecting multiple keywords for the following filters includes only families associated with all selected keywords:

  • Choose Family Keywords
  • Choose Student Keywords
  • Choose Program Keywords
  • Choose Class Keywords
  • Choose Camp Keywords

Instructor Filter Notes

Entries will not be included on the final report for any selected instructor/staff member who was not associated with the specified enrollments, events, or other matching records during the selected date or date range.

Additional instructor rules include:

  • If an instructor was deleted after the start date of the report, the results include relevant entries for the instructor on the date(s) before they were deleted.
  • If an instructor was created or attached to an event after the end date of the report, the instructor will not be included in the results.

Pre-filter Behavior

The Pre-filter limits the results shown in the Choose Class/Camp filters. The Pre-filter only affects the available options shown there.

If staff select specific classes or camps after using the Pre-filter, those class or camp selections affect the data shown on the final report.

Changing the report date range after making any Pre-filter selections may cause some selections to become invalid. Invalid selections will not be reflected on the final report.

Troubleshooting & FAQs

  • Why are some families missing from the report?
    • Review the selected Advanced Active/Inactive Search, As Of Date, enrollment status, enrollment type, keyword, location, program, class, camp, appointment, and referral source filters. The family must meet the selected filter criteria to appear on the report.
  • Why did my class, camp, or appointment selection stop affecting the report?
    • Changing the report date range after making Pre-filter selections can cause some selections to become invalid. Reapply the Pre-filter and choose the class, camp, or appointment again.
  • Why does a camp enrollment include dates between selected camp blocks?
    • The System treats camp enrollments as ACTIVE from the first selected block through the last selected block. Dates between those blocks count as part of the active camp enrollment period.
  • Why is an instructor not included in the report results?
    • The instructor must have been associated with the specified enrollments, events, or other matching records during the selected date or date range. Instructors created or attached after the report end date will not be included.
  • Can I save commonly used filters for this report?
    • Yes. Use preset filters to save commonly used report filters, then load the preset when running the report again.
