The Family Email List (FAM-3) report provides a list of families in your database along with all email addresses associated with each family account. Administrators can apply a wide range of enrollment, class, camp, appointment, and keyword filters to generate targeted email lists for communication and outreach purposes.

Overview
The Family Email List is designed to help administrators quickly identify and export family email addresses based on enrollment activity, enrollment timing, program participation, keywords, and email opt-in status. This report is commonly used for email campaigns, announcements, and operational communications.
Important Notes:
- Filters related to enrollments produce results based on the Advanced Active/Inactive Dates or As Of Date selected.
- Frequently used filter combinations can be saved as Preset Filters for faster access when running the report again.
Accessing the Report
- From the main navigation menu, go to Reports.
- Locate and select Family Email List (FAM-3).
Step-by-Step Instructions
General Filters
Advanced Active/Inactive Search or As Of Date
- If Advanced Active/Inactive Search is disabled, the System uses the As Of Date (defaults to the current date).
- When using As Of Date, select an enrollment status:

Currently Enrolled (Active)
- Includes families/students with an ACTIVE enrollment in classes or camps on the selected date.

Enrolled in the Future (Only)
- Includes families/students without a current ACTIVE enrollment on the selected date but with a future ACTIVE enrollment.

Previously Enrolled (Only)
- Includes families/students without a current ACTIVE enrollment but with a past ACTIVE enrollment.

Never Enrolled
- Includes families/students with no recorded ACTIVE enrollments.

Currently Enrolled (Active)
Note: Enrollment Status filters interact with other report filters. Review the linked documentation for detailed behavior.
Advanced Active/Inactive Date Ranges (when enabled)

Active Date Search
- Families must have had an active enrollment at any point within the selected date range.

Inactive Date Search
- Families must have remained inactive for the entire selected date range.
- If both options are enabled, both conditions must be met.
Enrollment Filters
Enrollment Type
- Include Class Enrollments
- Include Camp Enrollments
Any / All Logic (when both are selected):
- Any – families with class or camp enrollments
- All – families with both class and camp enrollments
Note on Camp Enrollments: Camp enrollments are considered active from the first selected block through the last block. For example, a student enrolled only on May 5 and May 8 is considered active from May 5–8.
Enrollment Type Status
- Active
- Single Day
- Make Up
- Trial
- Wait List
Locations
- Limits results to families with enrollments at the selected location(s).
Class/Camp Status
- Active – only classes/camps marked Active
- Inactive – only classes/camps marked Inactive
Note: Only selected status options are available in the Class/Camp Filters section.
Additional Filters

Choose Instructor
- Limits results to enrollments associated with selected instructors.
- Deleted instructors may still appear for applicable historical dates.

Choose Program
- Limits results to families with enrollments in selected programs.

Choose Family Keywords
- Families must have all selected family keywords.

Choose Student Keywords
- Families must have students with all selected student keywords.

- Enrollments must include all selected program keywords.

Choose Class Keywords
- Enrollments must include all selected class keywords.

Choose Camp Keywords
- Enrollments must include all selected camp keywords.

Choose Appointment Keywords
- At least one student in the family must have an appointment booking with the selected keyword.
Email Opt-In Status
- Both – includes all families
- Only Emails That Have Opted Out – excludes opted-in addresses
- Only Emails That Have Opted In – excludes opted-out addresses
Class, Camp, and Appointment Filters
Pre-Filter
- Limits which classes, camps, or appointments appear in selection lists.
- Only affects available choices, not final results unless selected.
Filter Options Include:
- Instructor
- Status (Active or Inactive)
- Specific Class
- Specific Camp
- Specific Appointment
Important Note: Changing the report date range after selecting pre-filters may invalidate some selections. Invalid selections are not included in the final report.
Display Options

Print Guardian Name as ‘Last Name, First Name’
- Reverses the default First Name Last Name format.

Print Layout
- Landscape or Portrait orientation.
Generating the report
- Confirm your filters.
- Select your preferred format (HTML, PDF, XLS, or CSV) to generate the report.
Troubleshooting & FAQs

Why are some families missing from my results?
- Verify the enrollment status, date range, and location filters. Enrollment-related filters depend on the selected As Of Date or Advanced Active/Inactive Date ranges.

Why are not all email addresses showing in my PDF report?
- PDF format may truncate email lists for families with many addresses. Run the report as XLS or CSV instead.

Why did my class or instructor selection disappear?
- Changing the report date range after selecting pre-filters can invalidate earlier selections.

Why is an instructor not appearing in the results?
- Instructors must be associated with enrollments during the selected date range to appear in results.
