IN BRIEF
Before creating new events in iClassPro, administrators must define Event Pricing Schedules and (optionally) Event Types. Pricing Schedules determine how tuition and discounts are calculated, while Event Types group similar events together for easier management and display in the Customer Portal.
Overview
Event Pricing Schedules and Event Types define the financial and visual structure of your events.
- Event Pricing Schedules control how the System calculates tuition, deposits, sibling discounts, and other price modifiers.
- Event Types group similar events under shared headings, making it easier for families to find the right event when registering online.
If you plan to use the same pricing structure for multiple events, you can reuse the same Event Pricing Schedule across all of them.
Accessing the Feature
- In the Office Portal, navigate to SETTINGS>SETUP>EVENT SETTINGS.
- Expand either the Event Types or Pricing Schedules, depending on which configuration you are setting up.
Step-by-Step Instructions
Create an Event Type
A Event Type groups similar events together to make them easier for families to locate in the Customer Portal.
Each event must be linked to an Event Type.
Your account includes a default Event Type labeled "Event", but you can create additional types for more specific groupings (for example, "Summer Event," "Holiday Event," "Open Gym", or "Private Lesson").
- Navigate to SETTINGS>SETUP>EVENT SETTINGS.
- Expand the Event Type section.
- Select Add New Event Type.
- Enter the following information:
- Singular and Plural Titles – define how the type will appear in the Office Portal and Customer Portal.
- Charge Category - assign a Charge Category to be assigned to any tuition charges that are created for enrollments in events associated with this Event Type.
-
Image (optional) – upload a banner image for the Event Type. The recommended image size is 400px x 200px.
- This image appears in the Customer Portal whenever an event of that type is open for registration (within its “Allowed Registration Dates”).
- Select Save to create the new Event Type.
For more information, see our "What are Event Types?" document.
Create an Event Pricing Schedule
A Event Pricing Schedule determines how much the System charges for event enrollments. This includes per-block pricing, multi-block/multi-sibling discounts, and any special discounts.
If multiple events will use the same pricing model, you can assign a single Pricing Schedule to all of them.
- Navigate to SETTINGS>SETUP>EVENT SETTINGS.
- Expand the Pricing Schedules section.
- Select Add New Pricing Schedule.
- Complete the required fields:
- Name – assign a clear, descriptive name (for example, “Weekly Event Rates” or “Per-Day Pricing”).
- Count Students / Attendees By - define how the system will count student enrollments from the same family for discount purposes.
- Student/Attendee Deposit - If you are charging a deposit amount on sign up and the remainder of the price later on, enter the deposit amount for each student here. This can be a dollar or percentage of tuition.
- Pricing Table - Enter the full pricing for each combination of blocks here (including deposit amounts in the total).
- Special Discounts – If you offer Special Discounts for families marked as members, employees, or in service, or to define an Early Bird discount, enter the amounts or percentages in the Special Discounts tab.
- Save your changes to create the new Pricing Schedule.
For full instructions on configuring Event Pricing Schedules and how the system uses them to determine event tuition, see our "How Do I Create/Edit an Event Pricing Schedule?" document.
If you will be using iClassPro's Event Alias feature to group event blocks together for enrollment purposes, be sure to review our "What is the Event Alias Feature?" document for explanations of how to configure the Pricing Schedule for these events.
Troubleshooting & FAQs
-
Can I change an Event Type or Pricing Schedule after creating an event?
- You can edit or update these settings, but any changes may affect active or upcoming events that use them. Always review pricing and registration display settings after making edits.
-
Do I have to create an Event Type for every new event?
- Not necessarily. You can reuse any previously created Event Type as long as it meets your display and grouping needs.
