Overview
Administrators can manage communication templates directly from the SETTINGS>SETUP>GENERAL SETTINGS>COMMUNICATION TEMPLATES area.
Templates can be:
- Edited to update message content or adjust variables.
- Disabled to temporarily hide the template while retaining it for future use.
- Deleted to remove the template permanently.
Accessing the Feature
NOTE: Only staff with full permissions to the Settings page will be able to create, edit, disable, or delete communication templates.
- Navigate to SETTINGS>SETUP>GENERAL SETTINGS.
- Click the pencil/edit icon next to the COMMUNICATION TEMPLATES area.
- In the Communication Templates view, select the Custom tab to view all existing custom communication templates.
Editing a Template
To modify an existing communication template:
- From the Custom list, select the pencil/edit icon next to the template you wish to change.
- Update the Description, enable/disable specific delivery methods (Email, SMS, Push notification), or change message content as needed.
- Select Save to apply the changes.
Tips for Editing Templates
- Changing the “Where will this email template be used?” setting will affect which variables are available in the editor. This may require updates to the message content to resolve any bad variables.
- Templates remain Active after editing unless manually disabled.
- Always verify that your edits apply to all intended communication types (Email, SMS, and/or Push).
Disabling a Template
Disabling a communication template hides it from use without deleting it.
To Disable a Template
- Email Templates: Clear the Active checkbox.
- SMS/Push Templates: Toggle Enable to the “Off” position.
After making any updates to these settings, select Save to apply the changes.
Important Notes
- Disabled templates remain saved but hidden from available template lists.
- You can re-enable a disabled template at any time by reversing the above action.
Deleting a Template
To permanently delete a template:
- From the Custom list, select the trash can/delete icon next to the template.
- Confirm deletion by selecting Yes when prompted.
Important Notes
- Deleting a communication template permanently removes versions for all communication methods (Email, SMS, and Push).
- This action cannot be undone.
- The “We Have a Mobile App” template is required for the “Mobile App Not Downloaded after Enrollment” Autopilot workflow and cannot be deleted, even if your organization does not use the Mobile App or does not enable that particular workflow.
Troubleshooting & FAQs

Why can’t I find my template after editing?
- Confirm that the template is still marked Active (Email) or Enabled (SMS/Push). Disabled templates will not appear in the selection lists.

Why can’t I delete the “We Have a Mobile App” template?
- This template is required for the “Mobile App Not Downloaded after Enrollment” Autopilot workflow and cannot be deleted, even if your organization does not use the Mobile App or does not enable that particular workflow.

Can I limit which staff members can modify or delete templates?
- Yes. Adjust staff permissions to restrict access to the Settings area.
