How Do I Use Custom Templates in Communication Workflows?

Once templates are created, they can be used across iClassPro to send branded, consistent communications. Staff can apply them to Email Blasts, Statements, Skill Progression, SMS Messages, and Push Notifications

Overview

Custom templates can be selected when composing system communications. This ensures recipients always receive standardized, branded content without requiring staff to retype or reformat messages.

Email Blasts

  1. Select intended recipients from one of the following pages:
    • FAMILIES
    • STUDENTS
    • CLASSES
    • APPOINTMENTS
    • CAMPS
    • STAFF
  2. Select the Email Blast icon.
  3. Configure recipient options.
  4. Choose a template from Select Template.
    • The body will auto-populate, overwriting any existing text.
    • Invalid variables will be replaced with blank text.
  5. Select SEND.

Statements

Family Ledger

  1. From a family’s Full Ledger, select EMAIL STATEMENT.
  2. Choose a template from Select Template.
    • The body will auto-populate, overwriting any existing text.
    • Invalid variables will be replaced with blank text.
  3. Select SEND (Statement PDF attaches automatically).

TRANSACTIONS > STATEMENTS

  1. Configure statement filters.
  2. Choose a template from Select Template.
    • The body will auto-populate, overwriting any existing text.
    • Invalid variables will be replaced with blank text.
  3. Select PREVIEW to continue.
  4. After reviewing the results, select PROCESS to send the emails. (Statement PDF attaches automatically).

Skills Activity Log

  • Custom templates can be applied only when sending Skill Progression emails for Passed Levels.
  • All other progression types use the system default.

When composing an SMS, a Select Template menu is available if the template is linked to the page specified in Where will this email template be used?.

Downloading Default Headers

All of the built-in custom email templates provided by iClassPro include default customized headers. If any of these get deleted, or if you want to use one of the headers in your own custom email, you can download the full set here.

Troubleshooting & FAQs

  • Why does my SMS show fewer than 160 characters?
    • Emojis and special characters reduce the available number of characters.
  • Why can’t I find my template in the drop-down?
    • Ensure the template is marked Active (Email) or Enabled (SMS/Push).
