How Do I Purchase a Gift Certificate in the Customer Portal?

Gift Certificates can be purchased through the iClassPro Customer Portal by logged-in users or guests who are not signed in. During the purchase process, the purchaser can choose a fixed or variable amount, specify a recipient, and include a gift message. Once purchased, Gift Certificates are applied as credits on the recipient family’s ledger. 

Overview

The Gift Certificate feature allows families or guests to purchase account credit that can be applied toward classes, camps, or other charges. Gift Certificates can be purchased whether or not the user is logged into the Customer Portal, and recipients are notified by email when a Gift Certificate is purchased for them.

Important Note: If the payment gateway on your account is only configured for eCheck transactions, the “Gift Certificate” option will not appear in the Customer Portal. Credit or debit card payments must be enabled to offer Gift Certificates to customers.

Accessing the Feature

  1. Open the Customer Portal.
  2. From the navigation menu, select “eGift Cards.”

Step-by-Step Instructions

Making a Purchase if the User Is Logged Into the Customer Portal

  1. Select “eGift Cards” from the navigation menu.
  2. Complete the following fields:
    • Amount to Spend
      • If Fixed Amount is selected, this value is automatically filled in.
      • If Any Amount is selected, enter an amount within the minimum and maximum range defined under 
        SETTINGS > CUSTOMER PORTAL > OTHER SETTINGS > GIFT CERTIFICATES.
    • What You’re Actually Credited
      • Displays the actual credit amount the recipient will receive.
      • Automatically calculated based on fixed credit amounts or multiplier settings.
    • This Is a Gift for Somebody Else
      • Enable this option if the credit should be applied to a family other than the one currently logged in.
      • If disabled, the credit is created for the logged-in family.
      • Recipient Full Name
        • Name of the family receiving the credit.
        • Included in the Gift Certificate credit title.
      • Recipient Email
        • Email address used to notify the recipient family that a Gift Certificate has been purchased.
    • Your Full Name
      • Automatically populated from the Primary Guardian on the logged-in account.
      • Included in the Payment Title and used to identify the purchaser in the notification email.
    • Your Email
      • Automatically populated from the Primary Email on the account.
      • Included in the Payment Title and may be used by staff if clarification is needed.
    • Your Phone Number
      • Automatically populated from the Primary Phone number on the account.
      • Included in the Payment Title and may be used if staff need assistance matching the recipient.
    • Gift Message
      • Optional message, limited to 250 characters.
      • Included in the email sent to the recipient.
      • Only appears if “This Is a Gift for Somebody Else” is enabled.
    • Use Autopay on File
      • Uses saved payment information to complete the purchase.
      • Only appears if payment information is already stored on the account.
  3. Select “BUY NOW!” to open the payment form.
  4. Verify or enter payment details and complete the checkout.
  5. A receipt is emailed to the purchaser after the transaction is completed.

Notes:

  • The “BUY NOW!” button remains inactive until all required fields are completed.
  • The payment form automatically populates based on account settings.

Making a Purchase if the User Is NOT Logged Into the Customer Portal

  1. Open the Customer Portal.
  2. Select “eGift Cards” from the navigation menu.
  • Complete the following fields:
    • Amount to Spend
      • Automatically filled if Fixed Amount is selected.
      • Manually entered if Any Amount is selected, within the configured minimum and maximum range.
    • What You’re Actually Credited
      • Displays the credit amount the recipient will receive.
      • Automatically calculated based on fixed amounts or multipliers.
    • This Is a Gift for Somebody Else
      • Enable this option to assign the credit to another family.
      • Recipient Full Name
        • Name of the family receiving the credit.
        • Included in the Gift Certificate credit title.
      • Recipient Email
        • Email address used to notify the recipient family.
    • Your Full Name
      • Full name of the purchaser.
      • Included in the Payment Title and purchaser notification.
    • Your Email
      • Email address of the purchaser.
      • Included in the Payment Title and used for follow-up if needed.
    • Your Phone Number
      • Phone number of the purchaser.
      • Included in the Payment Title and used if clarification is required.
    • Gift Message
      • Optional message included in the recipient notification email.
      • Only appears if “This Is a Gift for Somebody Else” is enabled.
  1. Select “BUY NOW!” to open the payment form.
  2. Enter payment details and complete the purchase.

Redeeming Gift Certificates

Gift Certificates are applied as credits or unapplied payments on the recipient family’s ledger. These credits can be applied to charges in the same manner as other credits.

  • Why do I not see the “eGift Cards” option in the Customer Portal?
    • Gift Certificates require credit or debit card payments. If your payment gateway is configured for eCheck only, the option will not appear.

  • Where does the Gift Certificate appear after purchase?
