Learn how to configure your Customer Portal to allow customers to purchase Gift Certificates and have credit applied to their account without requiring an existing charge on their ledger.

If the payment gateway on your account is only configured for eCheck transactions, the "Gift Certificate" option will not be displayed on your Customer Portal as this method of payment is not supported for Gift Certificate purchases. Credit/debit card payments must be allowed to offer this feature to your customers.
Configuring Your Gift Certificate Settings
Settings for Gift Certificates are located under SETTINGS>CUSTOMER PORTAL>OTHER SETTINGS>GIFT CERTIFICATES.
Once you have navigated to the correct location, you can configure your settings:
- Enable Gift Certificates – required for the “Gift Certificate” option to show on the Customer Portal. When this option is enabled, the system will create a family called “--, Gift Certificate” to use for recording Gift Certificate purchases/payments. (NOTE: To prevent potential load time issues with the resulting family, the system will prevent including the current "--, Gift Certificate" family as part of any family merge process.)
- Enable Gift Certificates for Users Who Are Not Logged In – Enabling this option allows anyone to purchase a gift certificate and specify the name of the recipient.
- If this option is ENABLED, a charge, payment and credit will be created on the “--, Gift Certificate” family account for any purchases made and staff members will need to create the appropriate credit on the account of the designated family. The buyer’s name/phone number are required so staff can contact them if there is an issue determining which family should receive the gift certificate credit.
- If this option is DISABLED, users must log in to purchase a Gift Certificate.
- If the customer purchases the gift certificate for themselves while logged in, the related charge, payment and corresponding credit will be created on their specific family account.
- If "This is a Gift for Somebody Else" is checked and a purchase is made, the charge and payment will be created on the ledger for the family that is logged in. The corresponding credit will be created on the “--, Gift Certificate” family account and staff members will need to create the appropriate credit on the account of the designated family.
- Title – the title entered here will be used on the Customer Portal navigation menu and on the purchase screen itself.
- Gift Certificate Logo on Customer Portal – allows you to upload an image to be displayed on the Gift Certificate purchase screen. This image will also be included in the "Gift From Customer Portal" email.
- The recommended image size for the Gift Certificate Logo is 860px wide x 287px tall, or a width to height ratio of about 3:1.
- Enable Gift Certificates for Users Who Are Not Logged In – Enabling this option allows anyone to purchase a gift certificate and specify the name of the recipient.
- Description – allows you to enter a description to be displayed on the Gift Certificate purchase screen.
- Thank You Text – allows you to enter a “Thank You” message to be displayed after a successful Gift Certificate purchase.
- Type
- “Fixed Amount” – select this option if you want to use a predetermined gift certificate amount.
- Cost – amount to be paid by the purchaser
- Credit – amount of credit to be extended to the recipient
- “Fixed Amount” – select this option if you want to use a predetermined gift certificate amount.
- “Any Amount” – select this option if you want to allow the purchaser to specify the amount of the gift certificate.
- Min – the minimum Gift Certificate value that can be purchased.
- Max – the maximum Gift Certificate value that can be purchased.
- Multiplier % – the percentage to be added to the Charge Amount, represented by a number between 0-100. This value is used when determining the amount of credit to be extended to the recipient.
- The final amount of credit issued is determined by multiplying the amount purchased by a decimal value of 1.[amount of multiplier].
- For example, specifying a multiplier of 25 on a $100 charge amount would add 25%. So multiplying $100 x 1.25 = a total of $125 in credit.
- Charge Program – the Program that will be assigned to the charge created for the Gift Certificate. To make it easier to track these sales on financial reports, we suggest creating a Program specifically for “Gift Certificates” (or whatever you chose to Title this option in your settings).
- Charge Category – the Charge Category that will be assigned to the charge created for the Gift Certificate. To make it easier to track these sales on financial reports, we suggest creating a Charge Category specifically for “Gift Certificates” (or whatever you chose to Title this option in your settings).
Customizing Your Automated Gift Certificate Email Templates
There are also two Email Templates that will be used in relation to Gift Certificate purchases via the Customer Portal. These can be customized under SETTINGS>SETUP>GENERAL SETTINGS>COMMUNICATION TEMPLATES>Customer Portal:
- Gift Purchase Receipt - this email is sent to customers who purchase the Gift Certificate.
- Gift From Customer Portal - If a recipient email is entered on the Gift Certificate purchase screen, this email is sent to the recipient of the Gift Certificate.
It is also suggested that you update your Family Policies to note any terms or conditions related to Gift Certificates.
