The Appointment Revenue Report (FIN-25) produces a list of appointment bookings within a selected date range and includes related financial data. Administrators can use this report to review appointment revenue, payment status, cancellation fees, refunds, and total amounts due.
Overview
The Appointment Revenue Report (FIN-25) helps staff review financial details for appointment bookings within a specified date range. The report includes appointment, student, family, instructor, and payment details so administrators can track revenue connected to appointments.
Key Report Details
The report includes the following information:
- Student name
- Primary guardian/family name
- Lesson/appointment name
- Zone
- Instructor name
- Group/individual appointment
- Rate override
- Amount
- Cancellation fees
- Amount paid
- Refunds
- Total due
Rescheduled bookings
Information related to rescheduled bookings only tracks appointments that were rescheduled after June 5, 2024. Appointment bookings rescheduled before that date may not include the same reschedule-related tracking details.
Using Preset Filters
If you commonly use the same filters when running this report, you can save them as Presets. Load a Preset Filter when you open the report page, set your date range, and generate the report in the preferred format.

Accessing the Report
- From the main navigation menu, go to Reports.
- Locate and select Appointment Revenue Report (FIN-25).
- Use the available filters and display options to define the report results.
Step-by-Step Instructions
General filters
- Created Start Date/Created End Date: Limits the report to charges with a “Charge Date” that falls within the selected date range.
- Locations: Limits results to bookings for appointments associated with the selected Location or Locations.
- Choose Program: Limits results to bookings for appointments associated with the selected Program or Programs.

Choose Instructor: Limits results to bookings for appointments associated with the selected Instructor or Instructors.
- Entries will not appear on the final report for any selected instructor/staff member who was not associated with the specified enrollments, events, or other applicable records during the selected date or date range.
- If an instructor was deleted after the start date of the report, the report includes relevant entries for the instructor for the date or dates before they were deleted.
- If an instructor was created or attached to an event after the end date of the report, the instructor will not appear in the results.
- Choose Zone: Limits results to bookings for appointments associated with the selected Zone or Zones.
- Choose Service: Limits results to bookings for appointments associated with the selected Service or Services.
- Choose Appointment: Limits results to bookings for the selected appointment or appointments.
- Choose Appointment Keywords: Limits results to bookings for appointments associated with the selected Keyword or Keywords.
- Choose Students: Limits results to bookings for appointments associated with the selected Student or Students.

Canceled: Controls whether canceled appointment bookings appear in the report.
- Not Canceled: Lists bookings that were not canceled during the selected report date range.
- Canceled: Lists bookings that were canceled during the selected report date range.

Paid/Not Paid: Controls whether the report includes paid or unpaid appointment bookings.
- Paid: Limits results to bookings for appointments that were paid as of the selected end date of the report.
- Not Paid: Limits results to bookings for appointments that were unpaid as of the selected end date of the report.
Display options

Include: Controls whether additional payment information affects the report results.
- All Collected Payments: Considers all payments applied to charges when determining paid/unpaid status, regardless of whether the payment was made within the selected Start/End dates. If this option is disabled, the System determines the paid/unpaid status as of the selected end date.
Generating the Report
- Select your desired export format (such as HTML, PDF, XLS, or CSV) at the bottom of the report.
- The System will immediately generate the report in the selected format.
Troubleshooting & FAQs

Why does an instructor not appear on the report?
- The instructor may not have been associated with the specified enrollments, events, or other applicable records during the selected date range. The report only includes relevant entries for instructors connected to activity during the selected date or date range.

Why do deleted instructors still appear in the results?
- If an instructor was deleted after the report start date, the report includes relevant entries for the instructor for the date or dates before they were deleted.

Why does a newly created instructor not appear in the results?
- If an instructor was created or attached to an event after the report end date, the instructor will not appear in the results.

How does the report determine whether an appointment is paid or unpaid?
- The report uses the selected end date to determine whether appointment bookings are paid or unpaid. If All Collected Payments is enabled, the System considers all payments applied to charges, regardless of whether the payment was made within the selected Start/End dates.

Why are rescheduled booking details missing?
- Information related to rescheduled bookings only tracks appointments that were rescheduled after June 5, 2024.
