What is the Gateway Transactions Report (FIN-24)?

The Gateway Transactions Report (FIN-24) lists historical gateway transactions created within a selected date range. Administrators can use this report to review transaction amounts, fees, settlement amounts, statuses, batch details, and whether gateway transactions are linked to payment entries on the family ledger.

Overview

The Gateway Transactions Report is a historical list of gateway transactions created during a specified date range. Use this report to review payment gateway activity, reconcile gateway transactions, verify transaction statuses, and compare transaction totals against batch or settlement activity.

Key Report Details

The report includes the following information:

  • Transaction date
  • Transaction ID
  • Family name associated with the transaction
  • Location where the transaction was processed
  • Original transaction amount
  • Fees taken
  • Final settlement amount
  • Transaction status
  • Indicator showing whether the transaction links to a specific payment entry on the family ledger
  • Final totals row for:
    • Transaction amount
    • Fees
    • Settlement amount

Using Preset Filters

If you commonly use the same filters when running this report, you can save them as Presets. Load a Preset Filter when you open the report page, set your date range, and generate the report in the preferred format.

Accessing the Report

From the TRANSACTIONS>GATEWAY TRANSACTIONS view

  1. From the main navigation menu, go to TRANSACTIONS.
  2. Open the Gateway Transactions View.
  3. Use the available filters and display options to define the gateway transactions you want to include.
  4. Generate the report in the preferred export format.

  1. From the main navigation menu, go to Reports.
  2. Navigate to the Financial Reports section.
  3. Select Gateway Transactions Report (FIN-24) from the list of available reports.

Step-by-Step Instructions

General Filters

  • Search Dates By: Use Search Dates By to determine whether the selected date range references the original transaction date or the batch (payout) date.
  • From/To Dates: Use From/To Dates to define the date range for transactions included in the report.
    • The date range may reference either the original transaction date or the batch (payout) date, depending on the selected Search Dates By option.
    • This filter defaults to the current date.
  • Locations: Use Locations to limit results to transactions associated with the selected Location or Locations.
    • For single-location accounts, this will always be the same Location.
    • Note: This information is only linked to auto-voided payments if they were created on or after June 13, 2023.
  • Payment Status: Use Payment Status to limit results to transactions associated with the selected payment status or statuses.
    • Complete: Payment was authorized by the issuer, and the transfer of funds from the account owner has been initiated.
    • Failed: The payment process failed, either because the issuer rejected it or because another error occurred.
    • Pending: The payment is awaiting a response from the issuer.
    • Pending Settlement: Payment has been authorized by the issuer, but funds have not yet been taken from the account owner.
    • Canceled: Payment was authorized by the issuer, but it was canceled before processing.
    • Other: Any other payment status not included in the other available status options.
  • Choose Batch ID: Use Choose Batch ID to limit results to transactions associated with the selected Batch ID or Batch IDs.
    • Note: When running the FIN-24 report for recent dates, some transactions may be missing batch information for customers using the Stripe payment gateway. This occurs because Stripe batch information is populated only twice a day.

Display Options

  • Show only transactions not linked to Family Ledger: Enable this option to limit results to transactions that are not linked to a specific payment entry on the family ledger.
  • Show Only Refunds: Enable this option to include only transactions linked to a "Refund" action.

TRANSACTIONS>GATEWAY TRANSACTIONS

  1. From the Export option, select your desired export format (such as HTML, PDF, XLS, or CSV).
  2. The System will immediately generate the report in the selected format.

Troubleshooting & FAQs

  • Why are some Stripe transactions missing batch information for recent dates?
    • Stripe batch information is populated only twice a day, so recent transactions may not immediately show batch information.
  • Why do Location details not appear for some auto-voided payments?
    • Location information is only linked to auto-voided payments created on or after June 13, 2023.
  • Which date does the report use when I enter the From/To Dates?
    • The report uses either the original transaction date or the batch (payout) date, depending on the option selected under Search Dates By.
  • How can I review only gateway transactions that are not connected to the family ledger?
    • Enable Show only transactions not linked to Family Ledger before generating the report.
