What is the Tuition Override Report (STU-17)?

The Tuition Override Report (STU-17) provides a detailed list of enrollments with a tuition override applied. It helps staff review adjusted tuition amounts, identify trends, and validate billing accuracy across classes and students. 

Overview

The Tuition Override Report is a list of enrollments that have a tuition override applied. It includes key enrollment and billing details to help staff review adjustments and ensure accuracy in tuition calculations.

The report includes:

  • Student name
  • Class name
  • Class schedule
  • Enrollment type
  • Tuition override amount
  • Tuition override start date
  • Tuition override end date
  • Original tuition amount (based on billing schedule)

Note: If the same filters are used frequently, Preset Filters can be saved and reused. This allows faster report generation without reconfiguring filters each time.

Step-by-Step Instructions

General Filters

  • ENROLLMENT ACTIVE FROM/TO - the the date range during which the enrollment is/was active.
    • If left blank, the system will default to the current date for both start/end dates.
  • TUITION OVERRIDE ACTIVE FROM/TO - the date range during which the Tuition Override is/was active.
    • If left blank, the system will show any tuition overrides active during the Enrollment Active From/To date range.
  • ENROLLMENT TYPE STATUS
    • Active
    • Single Day
  • LOCATIONS: the system will only include students with enrollments associated with the selected Location(s) in the results.
  • CLASS/CAMP STATUS
    • Active – will limit the report to only students with enrollments in classes/camps that are currently marked “Active.”
    • Inactive – will limit the report to only students with enrollments in classes/camps that are currently marked “Inactive.”
  • CHOOSE INSTRUCTOR: select an Instructor to limit the report to only students with an active enrollment in a class associated with the selected Instructor. (Because students are only associated with a Program when an active enrollment is present, this filter will not have any effect on the results if the STATUS filter is set to “All” or “Inactive”.)
    • NOTE: Entries will not be included on the final report for any selected instructor/staff member who was not associated with specified enrollments, events, etc., during the designated date/date range. 
      • If an instructor was deleted AFTER the start date of the report, the results will include relevant entries for the instructor on the date(s) before they were deleted.
      • If an instructor was created/attached to an event AFTER the end date of the report, the instructor will not be included in the results.
  • CHOOSE PROGRAM: select a Program to limit the report to only students with an active enrollment in a class associated with that program. (Because students are only associated with a Program when an active enrollment is present, this filter will not have any effect on the results if the STATUS filter is set to “All” or “Inactive”.)
  • CHOOSE FAMILY KEYWORDS: select a Family Keyword to limit the report to only students who have the selected Family Keyword assigned.
  • CHOOSE STUDENT KEYWORDS: select a Student Keyword to limit the report to only students who have the selected Student Keyword assigned.
  • CHOOSE PROGRAM KEYWORDS: select a Program Keyword to limit the report to only students enrolled in a class/camp that has the selected Program Keyword assigned.

Class Pre-Filters

Changing the date range of the report AFTER making any Pre-filter selections may cause some of the selections to become invalid. These selections will not be reflected on the final report.

  • PRE-FILTER – the “Pre-filter” limits the results of the “Choose Class/Camp” filter(s) and only affects the options shown there. It does not affect any actual report results.
    • CHOOSE INSTRUCTOR - select one or more Instructor(s) to limit the “Choose Class/Camp” filter(s) to only show classes/camps associated with the specified Instructor(s).
      • NOTE: Entries will not be included on the final report for any selected instructor/staff member who was not associated with specified enrollments, events, etc., during the designated date/date range. 
        • If an instructor was deleted AFTER the start date of the report, the results will include relevant entries for the instructor on the date(s) before they were deleted.
        • If an instructor was created/attached to an event AFTER the end date of the report, the instructor will not be included in the results.
  • CHOOSE CLASS: select a Class to limit the report to only students with an active enrollment in the Class, as determined by the ADVANCED ACTIVE/INACTIVE SEARCH or AS OF DATE.

Class Filters

  • DAY OF WEEK - select one or more Day(s) of the Week to limit the report to only enrollments in a class that meets on the specified Day(s).
  • CHOOSE SESSION - select one or more Session(s) to limit the report to only enrollments in classes tied to the specified Session(s).
    • NOTE: The "Choose Session" filter will only display current/future sessions by default. However, there is a "Show Past" toggle option to display past Sessions/Rolling Sessions if needed.
  • CHOOSE LEVEL - select one or more Class Level(s) to limit the report to only enrollments in a class associated with the specified Class Level(s).
  • CHOOSE BILLING SCHEDULE - select one or more Billing Schedule(s) to limit the report to only enrollments associated with the specified Billing Schedule(s).
  • CHOOSE CLASS KEYWORDS - select one or more Class Keyword(s) to limit the report to only enrollments in classes that are associated with the specified Class Keyword(s)

Display Options

  • Show Levels - If enabled, shows the Class Level associated with the class.
  • Show Instructor - If enabled, shows the Instructor associated with the class.
  • Show Enrollment Notes - if enabled, the report will include any additional enrollment notes.
  • Show Drop Notes - if enabled, the report will include any Enrollment notes attached to the enrollment.
  • Show Start And Drop Date - If enabled, the report will include the start and drop dates of the enrollment.
  • Show Billing Schedule - If enabled, shows the Billing Schedule associated with the enrollment.
  • Show Locations - If enabled, shows the Location associated with the enrollment.

  • Landscape - If enabled, the systerm will generate the report in Landscape mode (rather than Portrait).

Troubleshooting & FAQs

  • Why are no results showing on my report?
    • Verify date ranges for both enrollment and tuition override filters
    • Ensure at least one Class/Camp Status option is selected
    • Confirm selected filters (such as instructor or program) match existing data
  • Why is a specific instructor not appearing?
    • The instructor may not have been associated with enrollments during the selected date range
    • The instructor may have been created after the report end date
  • Why are some filter selections missing after I change dates?
    • Pre-filter selections may become invalid when the date range changes and will not appear in the final report
  • Can I reuse my filter settings?
    • Yes. Use Preset Filters to save and quickly reload commonly used configurations
