What is the Tuition Override Report (STU-17)?

The Tuition Override Report (STU-17) lists every enrollment that has a tuition override. Use it to check each override against the regular tuition.

What a tuition override is

A tuition override is a custom tuition amount set on one student’s enrollment, in place of the class’s regular tuition.

  • Where it’s set — on the enrollment, when you enroll a student or edit an enrollment
  • How long it lasts — until its expiration date, or with no end date
  • Tuition price changes — if the class’s tuition is edited later, enrollments with an override keep their override

What the report shows

The report has one row per tuition override, sorted by the student’s last name. Every report shows these columns:

  • Who and what — Student, Class, Class Schedule, Enrollment Type
  • The override — Override Amount, plus:
    • Override Start Date — the day the override was added
    • Override Expiration Date — “Never” if it has no end date
  • Original Tuition Amount — the tuition on the class’s billing schedule, for comparison

Display Options add more columns. You can create the report as HTML, PDF, XLS or CSV.

Note

Each filter is explained in What each filter does, below.

  1. Enrollment Active From / To — both dates start on today.
  2. Tuition Override Active From / To — both dates start on today.
  3. Enrollment Type Status — Active is checked at first.
  4. Locations — pick at least one.
  5. Class Status — Active is checked at first.
  6. Instructors, Program and the keyword lists — narrow the results if you need to.
  7. Pre-Filter and Class — optional, to report on certain classes.
  8. Day Of Week — every day is checked at first.
  9. Session, Level, Billing Schedule, Class Keywords — optional.
  10. Show options — add columns.
  11. Landscape — print the report sideways.

What each filter does

▶ General Filters
▶ Step 1: Enrollment Active From / To

Shows overrides on enrollments that were active at any point between these dates.

If you clear both dates, the report uses today’s date.

▶ Step 2: Tuition Override Active From / To

Shows overrides that were active at any point between these dates. An override is active from the day it was added until its expiration date.

If you clear both dates, the report uses the Enrollment Active dates instead.

▶ Step 3: Enrollment Type Status

Pick which enrollment types to include:

  • Active — regular class enrollments
  • One-day enrollments — shown under the name your account uses for them, such as Single Day
▶ Step 4: Locations

Shows only enrollments at the locations you pick.

▶ Step 5: Class Status
  • Active — only classes marked Active today
  • Inactive — only classes marked Inactive today

Check both to include every class.

▶ Step 6: Instructors, Program and keyword lists
  • Instructors — only classes taught by the instructors you pick. An instructor counts only if they were on the class during the Enrollment Active dates.
    • Removed from the class after the start date: still counted
    • Added to the class after the end date: not counted
    • No Instructor (top of the list): classes with no instructor
  • Program — only classes in the programs you pick
  • Family Keywords — only students whose family has the keyword
  • Student Keywords — only students who have the keyword
  • Program Keywords — only classes in a program with the keyword
▶ Class Pre-Filters
▶ Step 7: Pre-Filter and Class
  • Pre-Filter — shortens the Class list only. It doesn’t change the report.
    • Instructors — lists only those instructors’ classes
    • Status — shows only when Class Status has both Active and Inactive checked
  • Class — shows only enrollments in the classes you pick. The list shows classes from the Enrollment Active dates.

Changing the Enrollment Active dates after you pick classes can drop some picks. Those classes won’t be on the report.

▶ Class Filters
▶ Step 8: Day Of Week

Shows only classes that meet on the days you pick.

▶ Step 9: Session, Level, Billing Schedule, Class Keywords
  • Session — only enrollments in the sessions you pick. The list shows current and future sessions. Turn on Show Past to see older ones.
  • Level — only classes at the levels you pick
  • Billing Schedule — only enrollments on the billing schedules you pick
  • Class Keywords — only classes that have the keyword
▶ Display Options
▶ Step 10: Show options

Each one you check adds a column:

  • Show Levels — the class level
  • Show Instructor — the class instructors. Inactive staff are marked (INACTIVE).
  • Show Enrollment Notes — notes on the enrollment
  • Show Drop Notes — notes added when the enrollment was dropped
  • Show Enrollment Start And Drop Date — “None” if the enrollment isn’t dropped
  • Show Billing Schedule — the class’s billing schedule
  • Show Locations — the enrollment’s location
▶ Step 11: Landscape

Creates the report sideways (landscape) instead of upright (portrait).

Troubleshooting

▶ Common Questions
▶ Why is my report empty?
  • Check both date ranges. Both start on today, so older overrides won’t show until you change them.
  • Check that at least one Class Status box is checked.
  • Check that filters such as Instructors or Program match your data.
▶ Why isn’t an instructor’s class on the report?

The instructor wasn’t on the class during the Enrollment Active dates. An instructor added to the class after the end date isn’t counted.

▶ Why did some Class picks drop off after I changed the dates?

The Class list follows the Enrollment Active dates. Classes outside the new dates drop off the list and won’t be on the report.

▶ Can I reuse my filter settings?

Yes. Save them as a Preset Filter and load it next time. See What are Preset Filters for Reports?
