Some of these options may not be available to customers, depending on your settings under USER MENU>PUNCH PASSES. These instructions assume that Punch Passes are enabled on the account, have already been configured by the business, and are able to be purchase/redeemed via the Customer Portal or Mobile App. See our “How Do I Configure Punch Passes Settings? (Other Settings)” document for more information.
Viewing Punch Pass Information
To view Punch Passes and association information via the Customer Portal, the setting to “Show Student Punch Card Passes” must be enabled under SETTINGS>CUSTOMER PORTAL>OTHER SETTINGS>GENERAL SETTINGS.
- Log into the Customer Portal or Mobile App using your email address and password.
- Navigate to MY ACCOUNT and click on the “Passes” icon for the appropriate student.
- NOTE: In the Mobile App, select ACCOUNT from the navigation toolbar at the bottom of the screen, select the student for whom you wish to create an enrollment, then click "Passes."
- This will bring up a list of all Punch Passes associated with the selected student, including any family-type Passes. You can expand any collapsed area to view more details.
Purchasing a Punch Pass
NOTE: Because purchasing Punch Passes requires using the Customer Portal Point of Sale feature, the option to purchase a Punch Pass online is only available via the Customer Portal or Mobile App when this feature is enabled.
If the option to “Enable Purchase on Customer Portal Point of Sale” is enabled under SETTINGS>CUSTOMER PORTAL>OTHER SETTINGS>PUNCH PASSES, then a "Passes" category will be displayed from the Point of Sale page in the Customer Portal or Mobile App. Because punch passes are directly associated with a family or student, the customer must be logged in and have at least one student attached to their family profile to see this category and purchase a pass.
Without sub-categories in place, selecting passes will simply display all available passes. If sub-categories have been set up to better organize your punch passes, then selecting passes will display a list of the sub-categories (to make specific passes easier to find) and a full list of available passes.
Finally, selecting a sub-category will display only passes associated with that sub-category.
After clicking on a specific Punch Pass, customers can click the option to "View a list of eligible classes" to view classes for which it may be redeemed (based on any Location/Program/Level limitations).
NOTE: Depending on the "Holder Type" assigned to the Punch Pass, customers may be prompted to select a student during the purchase process in order to assign the Pass to a specific student.
Using a Punch Pass to Create a Single-Day Enrollment
- If “Enable Redemption on Customer Portal” is selected under SETTINGS>CUSTOMER PORTAL>OTHER SETTINGS>PUNCH PASSES, you can redeem a Punch Pass for a Single-Day enrollment in an eligible class.
- In the Customer Portal or Mobile App, navigate to MY ACCOUNT and click on the “Passes” icon for the appropriate student.
- NOTE: In the Mobile App, select ACCOUNT from the navigation toolbar at the bottom of the screen, select the student for whom you wish to redeem a Punch Pass, then click "Passes."
- This will bring up a list of all Punch Passes associated with the selected student, including any family-type Passes. You can expand any collapsed area to view more details.
- Click the “Use Punch Pass” button next to any available pass to redeem one punch for a Single-Day class enrollment.
- On the next screen, the system will search for a list of eligible classes based on the Punch Pass settings and the selected date. Eligible classes are based on the student's age, gender, and whether there are openings available in the class (subject to how settings are configured under SETTINGS>CUSTOMER PORTAL>OTHER SETTINGS>PUNCH PASSES).
Note: By default the system looks at classes that are scheduled to meet on the current date; this can be changed by using the date picker to the right of the search box. - Once you have located the class for which you wish to redeem your Punch Pass, click on the class and click “Punch In” to complete the enrollment process.
- If the student meets all requirements, you will receive a “Punch-in successful!” confirmation message:
- Closing the confirmation window will return you to the student’s Punch Pass details, with one pass showing as consumed for the enrollment that was just created:
If a student punches in for a class that meets several times throughout a given day (such as Monday from 7pm-8pm and 8pm-9pm), their enrollment will actually be created for ALL of the timeslots attached to the class (due to how iClassPro handles class enrollments).
If the class has multiple meeting times on several different days (such as Monday from 7pm-8pm and Wednesday from 8pm-9pm), then student will only be enrolled for the day they actually punch in.
Punch Pass enrollment availability may be affected by the setting to "Restrict enrollment start date based on class start time" under SETTINGS>CUSTOMER PORTAL>OTHER SETTINGS>CLASS REGISTRATION.
