What Do the Different Enrollment Indicators Mean?

The ENROLLMENTS page in iClassPro displays several visual indicators beneath student details. These icons provide quick insight into each student’s enrollment status, history, and key conditions. Indicators are shown based on current-day data, regardless of any date range filters applied to the page. 

Overview

Enrollment indicators on the ENROLLMENTS page help staff quickly identify specific conditions or statuses related to a student’s current or past enrollments. These icons appear below each student’s details and may also appear within the View Enrollment Details dialog, accessible from the Actions menu next to each enrollment.

Important Note: All indicators are based on the current date, not the selected page date range. For example, an Active Sibling indicator will only appear if both siblings are actively enrolled on the day you view the page, even if they had enrollments outside that date range.

Accessing the Feature

  1. From the main navigation menu, go to Classes > Enrollments.
  2. Review the list of enrollments.
  3. Indicators appear below each student’s name and can also be viewed by selecting View Enrollment Details from the Actions menu.

Understanding Enrollment Indicators

  • New Student - this indicator is displayed if no record exists in the database for a previous class or camp enrollment for the student. This icon will only be displayed for the first 30 days of the student's first-ever enrollment.
  • Active Sibling - this indicator is displayed if the student has a sibling with an active Class or Camp enrollment as of the day the page is viewed.
  • Returning Student - this indicator is displayed if a record exists in the database for a previous class or camp enrollment for the student.
  • Promotion - this indicator is displayed if the student is being transferred from a class with a lower Class Level assigned to one with a higher Class Level assigned as of the day the page is viewed.
  • Medical Concerns - this indicator is only displayed/populated if the student has data recorded in the “Allergies/ Special Health Concerns” area of the “Medical” tab on their student profile.
  • Roll Sheet Comment - this indicator is only displayed/populated if the student has data recorded in the “Roll Sheet Comment” area of the “Details” tab on their student profile.
  • Makeup Enrollment - this indicator is only displayed if the enrollment being viewed is of the “Makeup” type.
  • Upcoming Drop Date - this indicator is only displayed/populated if the enrollment being viewed has an upcoming Drop Date assigned.
  • Upcoming Transfer Date - this indicator is only displayed/populated if the enrollment being viewed is being transferred to another class. The transfer date displayed will be the start date of the new enrollment.
    • Note that this icon will be adjusted based on whether the class in question is being transferred TO or FROM.
  • First Day in [Class/Camp Name] - this indicator is only displayed/populated if no enrollment record exists for the student connected with the class/camp in question as of the day the page is viewed.
  • First Day Ever - this indicator is only displayed/populated if no enrollment records exist for the student as of the day the page is viewed.
  • First Day at Location - this indicator is only displayed/populated if no enrollment record exists for the student connected with the Location assigned to the enrollment in question as of the day the page is viewed.
  • First Day in Level - this indicator is only displayed/populated if no enrollment record exists for the student connected with any other class assigned to the same Class Level as the enrollment in question as of the day the page is viewed.
  • Student Notes - this indicator is only displayed/populated if the student has any currently open Student Notes. (NOTE: Clicking this indicator will open the Student Notes window for you to view.)
  • Outstanding Balance - this indicator is only displayed/populated if the family to which the student belongs has an outstanding balance.
  • Expected Absence - this indicator is only displayed/populated if the student has an expected absence recorded for the enrollment in question for the day the page is viewed.
  • Birthday - this indicator is only displayed/populated if the student's birthday is within a window of four days before or after the date the page is being viewed.
    • The system will adjust the display to state "Birthday is today", "Birthday is on [date]", or "Birthday was on [date]" depending on context.
  • Trial Enrollment - this indicator is only displayed if the enrollment being viewed is of the “Trial” type.
  • Waitlist Enrollment - this indicator is only displayed if the enrollment being viewed is of the “Wait” type.
  • Drop Enrollment - this indicator is only displayed if the enrollment being viewed is dropping as of the day the page is viewed (that is., it is the student’s last day in class).

Troubleshooting & FAQs

  • Why is an indicator missing even though it should apply?
    • Indicators only reflect conditions that are true on the day you view the page. If the condition is tied to a past or future date, the icon will not appear.
  • Can I customize which indicators display?
    • No. Indicators are system-defined and automatically displayed when their conditions are met.
  • Where can I check details behind an indicator (for example, Medical Concerns or Notes)?
    • Open the student’s profile. Review the corresponding tab such as MedicalDetails, or Notes for the specific data tied to the indicator.
