How Do I Drop a Class Enrollment in the Office Portal?

Dropping a class enrollment in the Office Portal allows administrators to remove a student from a class while controlling the effective drop date, reason, and optional notifications. Enrollments can be dropped individually from several areas of the System or in bulk using the Drop All tool from the Classes page. 

Overview

Class enrollments can be dropped on an individual basis or for multiple students at once, depending on the situation. Dropping an enrollment does not always remove the student immediately; instead, the enrollment remains active until 11:59 PM on the selected drop date. This allows administrators to control billing, attendance, and reporting accuracy.

The System also supports:

  • Required drop reasons, if enabled in settings.
  • Optional drop notes for internal reference.
  • Optional drop notification emails to families when using the Drop All tool.

Accessing the Feature

You can access enrollment drop options from multiple areas of the Office Portal:

  • FAMILIES, STUDENTS, or CLASSES pages, using the Enrollments icon.
  • The ENROLLMENTS page, using the Actions menu.
  • The CLASSES page, when dropping multiple enrollments using the Drop All tool.

Step-by-Step Instructions

Dropping Individual enrollments

To drop an individual enrollment:

  • From the FAMILIES, STUDENTS, OR CLASSES page, click on the Enrollments icon, then click the Drop button next to the enrollment you wish to drop.

  • From the ENROLLMENTS page, click the Actions icon (circle with three dots) to the left of the enrollment, then choose Drop Enrollment.

From the Drop Enrollment window that opens:

  1. Enter a Drop Date for the enrollment.
    • NOTE: The student will remain enrolled until 11:59pm on the selected date. If you wish to drop the enrollment immediately, you may need to set this date to the day before the current date (if allowed).
      • If this date is left blank, the system will automatically set the drop date on the previous enrollment as the day before the new enrollment starts. If you wish to specify an earlier drop date, enter this date in the Drop Date for Previous Class field.
  2. Assign a Drop Reason (if required).
  3. Add any Drop Notes (optional).
  4. Click Save & Close to save the details and drop the enrollment.

ALTERNATE METHOD: wherever it is available, you can click the pencil/edit icon next to an enrollment, then add a drop date and drop reason (if required). Be sure to save your changes.

Using the "Drop All" tool

  1. Navigate to the CLASSES Page.
  2. Find the class from which you wish to drop all students.
  3. Click on the Enrollments icon.
  4. Click the Drop All button.
  5. From the Group drop-down, select the group of students you wish to drop:
    • All – Drops all currently enrolled and waitlisted students, as well as any students with a future-dated enrollment (includes active, makeup, trial, single day).
    • Current – Only drops currently enrolled and waitlisted students. (This option is selected by default.)
    • Future – Only drops students with a future-dated enrollment (includes active, makeup, trial, single day).
  6. Enter a Drop Date for the enrollments (defaults to current date).
    • NOTE: The students will remain enrolled until 11:59pm on the selected date. If you wish to drop the enrollments immediately, you may need to set this date to the day before the current date (if allowed).
  7. Assign a Drop Reason (if required).
  8. Add any Drop Notes (optional).
  9. Enable Send Drop Email if you wish to send a notification to the families.
  10. Click Save & Close to save the details and drop the enrollment.

Troubleshooting & FAQs

  • Why does the student still appear enrolled after I drop them?
    • Enrollments remain active until 11:59 PM on the selected drop date. The student will no longer appear enrolled after that time.
  • How do I drop an enrollment immediately?
    • If allowed, set the drop date to the day before the current date so the enrollment ends right away.
  • What happens if I leave the drop date blank when changing enrollments?
    • The System automatically sets the drop date on the previous enrollment to the day before the new enrollment begins.
  • Why am I required to select a drop reason?
    • Drop reasons may be required based on your account settings and help maintain consistent reporting.
