What is the Families With Unapplied Credit Balances Report (FIN-12)?

IN BRIEF
The Families With Unapplied Credit Balances Report (FIN-12) provides a list of families who have payments or credits on their accounts that have not been applied to charges. General Filters

  • As of Date
    • The System displays families with unapplied payments or credits as of the selected date.
    • Results are evaluated based on the Include All Transactions setting.
  • Include All Transactions
    • Before As of Date
      • The System checks whether payments or credits were applied to transactions on or before the selected As of Date.
    • After As of Date
      • The System checks whether payments or credits were applied to transactions after the selected As of Date, even if they were unapplied on that date.
      • This option is useful for identifying “real credit” when future-dated charges already have payments applied.
  • Locations
    • Limits results to charges and payments associated with the selected Location(s).
    • For reconciliation purposes, these should match the Location(s) selected on the Category List Report and the Program Deposit Split Report.
  • Display Options
    • Landscape
      • Generates the report in landscape orientation instead of portrait.

Camp Enrollment Considerations

  • Camp enrollments are considered ACTIVE for a continuous date range.
  • The active period starts with the first selected camp block and ends with the last selected camp block.
    • For example: A student enrolled only on May fifth and May eighth is considered ACTIVE from May fifth through May eighth, including May sixth and May seventh.

Troubleshooting & FAQs

  • Why do enrollment-based results change when I adjust the As of Date?
    • Enrollment-related filters evaluate enrollment status relative to the selected As of Date, not the current date. Changing this date can alter which enrollments are considered ACTIVE.
  • When should I use the “After As of Date” option for Include All Transactions?
    • This option is useful when reviewing future-dated charges that already have payments applied, helping identify true unapplied credit.
  • Why should Location filters match other reconciliation reports?
    • Matching Location selections across related reports ensures consistent data when reconciling balances and deposits.
