What is the Student Policy Agreement Report?
The Student Policy Agreement Report is a list of students in your database showing the student name, primary guardian, primary phone number and a status indicating whether or not they have accepted each of your Student Policies (and if so, when and by whom).
If you commonly use the same filters when running this report, you can now save them as Presets! Simply load a Preset Filter whenever you open the report page, set your date range and click to generate the report in your preferred format. See our "Preset Filters for Reports" document for more information.
NOTE: Chosen filters that relate to enrollments will produce results that are true as of the day you generate the report.
Available Formats
The Student Policy Agreement Report is available in either HTML, PDF, XLS or CSV format.
General Filters
- POLICY STATUS:
- Current – will check to see if the student has accepted/rejected the current version of your student policies
- Past – will check to see if the student has accepted/rejected past versions of your student policies
- ACCEPTED/REJECTED: reflects whether or not the student has agreed to or rejected your student policies
- Accepted – shows only students who match your chosen filters and who have accepted the current version of your student policies (based on the selected policy status)
- Rejected – shows only students who match your chosen filters and who have rejected your student policies (based on the selected policy status)
- No Record – shows only students who match your chosen filters and who have no recorded action regarding your student policies (based on the selected policy status)
- ONLY SHOW REQUIRED POLICIES: will only show results for student policies that are designated as “Required.”
- KEYWORD: select a Keyword to limit the report to only families who are associated with a particular Keyword.
- Family Keywords – the family keyword must be assigned to the family
- Student Keywords – the student must have the selected keyword assigned.
- Class Keywords – the student must have an active enrollment in a class with the selected keyword assigned.
- Camp Keywords – the student must have an active enrollment in a camp with the selected keyword assigned.
- Program Keywords – the student must have an active enrollment in a class or camp attached to a Program with the selected keyword assigned.
Enrollment Filters
- ENROLLMENT TYPE
- Include Class Enrollments – Only includes families with "ACTIVE" type Class enrollments during the specified date range/on the specified “As of Date.”
- Include Camp Enrollments – Only includes families with "ACTIVE" type Camp enrollments during the specified date range/on the specified “As of Date.”
- NOTE: Camp enrollments are considered ACTIVE in a camp for a period of time starting with the first block they have selected and ending with the last block. Therefore, if a student is enrolled only on May 5th and May 8th, their enrollment will be considered active from May 5th-May 8th (also encompassing May 6th and 7th).
- NOTE: If both of these options are enabled, the system will assume that the student must have had either a Class enrollment OR Camp enrollment during the specified date range/on the specified “As of Date.”
- STATUS (ENROLLMENT):
- Currently Enrolled (Active) – Choose this option to include families/students that have an "ACTIVE" type enrollment in classes/camps on the “As of Date” (regardless of past or future enrollment status)
- NOTE: Camp enrollments are considered ACTIVE in a camp for a period of time starting with the first block they have selected and ending with the last block. Therefore, if a student is enrolled only on May 5th and May 8th, their enrollment will be considered active from May 5th-May 8th (also encompassing May 6th and 7th).
- Enrolled in the Future (Only) – Choose this option to include families/students that do not have a current "ACTIVE" type enrollment in classes/camps on the “As of Date” but do have an "ACTIVE" type enrollment after that date.
- NOTE: Camp enrollments are considered ACTIVE in a camp for a period of time starting with the first block they have selected and ending with the last block. Therefore, if a student is enrolled only on May 5th and May 8th, their enrollment will be considered active from May 5th-May 8th (also encompassing May 6th and 7th).
- Previously Enrolled (Only) – Choose this option to include families/students that do not have a current "ACTIVE" type enrollment in classes/camps on the “As of Date” but did have an "ACTIVE" type enrollment prior to that date.
- Never Enrolled – Choose this option to include families/students which have no recorded "ACTIVE" type enrollments in classes/camps.
- Currently Enrolled (Active) – Choose this option to include families/students that have an "ACTIVE" type enrollment in classes/camps on the “As of Date” (regardless of past or future enrollment status)
- LOCATIONS: the system will only include students with enrollments associated with the selected Location(s) in the results.
- CHOOSE PROGRAM: the system will only include students with enrollments associated with the selected Program in the results. Leaving this option blank will show results for all Programs. (Because students are only associated with a Program when an enrollment exists, using this filter could result in a blank report if the STATUS filter is set to “Never Enrolled”.)
- CHOOSE CLASS: the system will only include students with enrollments associated with the selected Class in the results. Leaving this option blank will show results for all Classes. (Because students are only associated with a class when an enrollment exists, using this filter could result in a blank report if the STATUS filter is set to “Never Enrolled”.)
- CHOOSE CAMP: the system will only include students with enrollments associated with the selected Camp in the results. Leaving this option blank will show results for all Camps. (Because students are only associated with a camp when an enrollment exists, using this filter could result in a blank report if the STATUS filter is set to “Never Enrolled”.)
