What is the Family Annual Total Receipts Report (FIN-15)?

It is commonly used to support tax-related documentation, such as health and fitness expense claims in certain countries. The report can be generated or emailed directly from the family ledger. 

Overview

The Family Annual Total Receipts Report is designed to provide a detailed summary of payments made by a family over a selected calendar year. This report is similar to an itemized statement and includes:

  • All students associated with the family account
  • Fees separated by Line Item Type:
    • Class tuition
    • Appointment tuition
    • Camp tuition
    • Parties
    • Other charges
    • Anniversary fees
  • A separate total for taxes paid

This report is especially useful for families who need documentation for tax rebates or expense tracking.

Available Filters

  • Year Student Was Active
    • Only includes families with students who had an active enrollment within the selected calendar year
  • Locations
    • Results reflect the selected location(s)
    • If using “ACTIVE” status, the family must be active in the selected location to appear in results
  • Choose Family Keywords
    • Limits results to families associated with selected keyword(s)

Accessing the Report

This report is accessed from the family ledger, rather than the main Reports menu.

  1. Navigate to either the FAMILIES or STUDENTS page.
  2. Select the currency symbol / ledger icon for the desired family.
  3. Select FULL LEDGER.
  4. Select MORE ACTIONS.
  5. Choose one of the following:
    • "Generate Annual Total Receipts Report"
    • "Email Annual Total Receipts Report"

  1. From the FULL LEDGER, select MORE ACTIONS.
  2. Select "Generate Annual Total Receipts Report."
  3. Select the YEAR:
    • Only charges paid within the selected calendar year are included
  4. Select the LOCATION:
    • Only payments associated with the selected location(s) are included

Generating the Report

  • Select your desired export format (such as HTML or PDF) at the bottom of the report window.
  • The System will immediately generate the report in the selected format.

  • The system automatically filters results based on the selected year and location
  • The report reflects payments received, not just charges

Emailing the Report

  1. From the FULL LEDGER, select MORE ACTIONS.
  2. Select "Email Annual Total Receipts Report."
  3. Select the YEAR:
    • Only charges paid within the selected calendar year are included
  4. Select the LOCATION:
    • Only payments associated with the selected location(s) are included
  5. Confirm or update the RECIPIENT:
    • Automatically populated with the primary email address on the account
  6. Confirm or update the REPLY-TO ADDRESS:
    • Defaults to the location email address but can be edited
  7. (Optional) Select an Email Template:
    • Automatically fills in the Subject and Email Body
  8. Enter a Subject (if no template is selected)
  9. Enter your message in the Email Body (if no template is selected)
  10. Select Send Email. The report is automatically attached as a PDF.

  • Why is a family not appearing in the report?
    • A: The family must have at least one student with an active enrollment during the selected calendar year.
  • Why are some payments missing from the report?
    • A: Only payments associated with the selected year and location are included.
  • Can I send this report directly to a family?
    • A: Yes. Use the "Email Annual Total Receipts Report" option from the MORE ACTIONS menu in the family ledger.
  • What format is used when emailing the report?
    • A: The report is automatically sent as a PDF attachment.
  • Can I customize the email message?
    • A: Yes. You can manually enter a subject and message or use a predefined Email Template.
