What is the Family Full Ledger Report?

The Family Full Ledger Report is a great tool for giving families a record of their complete financial transaction history at your facility! It lists all charges, credits, and payments on their account for a set time period, or the entire ledger.

Available Formats

The Family Full Ledger Report is available in PDF, XLS or CSV format.

Generating the Report

The Family Full Ledger Report can be generated from the full ledger view on any family account. 

  1. Go to the FAMILIES page and locate the family for whom you wish to generate a Full Ledger Report.
  2. Click the Currency Symbol icon to view the most recent ledger transactions.
  3. Click on View Full Ledger.
  4. Under the "More Actions" menu, click Generate Full Ledger Report. This will open the report filters.
    • DATE METHOD: determines the date range to be used when generating the report.
      • All Ledger Data - shows all ledger information from the time the family's account was created to present.
      • From Start Date to End Date - allows you to enter a specific date range for ledger data to be shown.
      • Month of Start Date - only includes charges/payments within a month of the specified start date.
      • Year of Start Date - only includes charges/payments within a year of the specified start date.
    • DISPLAY OPTION
      • Landscape - if enabled, the report will generate in Landscape (instead of the default Portrait orientation).
  5. Adjust the filters to a time frame or use the default filters to get all ledger history for that family.
  6. Generate the report in whichever format works best for you.

  7. The report will generate and be available for download in your Background Tasks. Click the down arrow to download the document if necessary and open the file

Emailing the Report

The Family Full Ledger Report can also be emailed generated from the full ledger view on any family account.

  1. Go to the FAMILIES page and locate the family for whom you wish to generate a Full Ledger Report.
  2. Click the Currency Symbol icon to view the most recent ledger transactions.
  3. Click on View Full Ledger.

  4. Under the "More Actions" menu, click Email Full Ledger Report. This will open the report filters.

    • DATE METHOD: determines the date range to be used when generating the report.
      • All Ledger Data - shows all ledger information from the time the family's account was created to present.
      • From Start Date to End Date - allows you to enter a specific date range for ledger data to be shown.
      • Month of Start Date - only includes charges/payments within a month of the specified start date.
      • Year of Start Date - only includes charges/payments within a year of the specified start date.
    • DISPLAY OPTION
      • Landscape - if enabled, the report will generate in Landscape (instead of the default Portrait orientation).
    • RECIPIENT: the email address the report will be sent to. (iClassPro will automatically populate this field with the primary email address on the account.)
    • REPLY-TO ADDRESS: the email address that will be used as the recipient if parents send a reply to the email. This field is automatically populated with the Location email address for your account, but can be edited as needed.
    • (Optional) Select a predefined Email Template to use.
      • Selecting a template will automatically fill in the Subject and Email Body.
    • Enter a Subject for the email.
      • Skip this step if you selected an Email Template
    • Add your message (text) in the Email Body.
      • Skip this step if you selected an Email Template
    • Click Send Email. The Full Ledger Report will automatically be sent with the email as a PDF attachment.

There will be an indicator in the date field to show the location ID where the payment/charge was recorded. A key for these indicators is located at the bottom of the report, to the left of the totals.
