The Aged Accounts Report (FIN-1) lists all families who have outstanding balances on their accounts as of a specified date. Administrators can apply filters based on enrollment, ledger data, classes/camps, and other criteria to evaluate past due charges and reconcile outstanding balances. The report can be generated in multiple formats and includes options for breaking out aging buckets.
Overview
The Aged Accounts Report lists families with outstanding charges as of the selected date. Because the report focuses on amounts owed, it is often used for collections, reconciling past due accounts, and monitoring trends in unpaid charges.
Chosen enrollment-related filters produce results based on the As of Date selected when generating the report.

- From the main navigation menu, go to Reports.
- Select FIN-1 Aged Accounts from the list.
Step-by-Step Instructions
Configure General Filters

As of Date
- Limits results to families with unpaid charges as of the specified date.

Locations
- Includes only charges/payments associated with the selected location(s).
- To reconcile the report, these should match the locations chosen for related reports, such as the Category List Report and Program Deposit Split Report.

Display Options

Show only families with past due charges:
- Limits results to families with charges due before the selected As of Date.

Landscape:
- Produces the report in landscape orientation rather than portrait.

Display results for 1–15 days past due:
- Adds separate columns for 1–15 and 16–30 days past due.
- When disabled, a single "1–30 Days Past Due" column is displayed instead.

Status (Enrollment)
Choose how the System evaluates enrollment status as of the selected As of Date:-
Currently Enrolled (Active)
- Includes families/students with an ACTIVE enrollment on the As of Date (regardless of past or future enrollment status).

Enrolled in the Future (Only)
- Includes families/students without an ACTIVE enrollment on the As of Date but with an ACTIVE enrollment after that date.

Previously Enrolled (Only)
- Includes families/students without an ACTIVE enrollment on the As of Date but with an ACTIVE enrollment before that date.

Never Enrolled
- Includes families/students with no recorded ACTIVE enrollments in classes/camps.

Currently Enrolled (Active)

Choose Program
- Limits results to families with ACTIVE enrollments in classes/camps assigned to the selected program(s) as of the As of Date.
- Leave blank to include all programs.

Keyword
- Select a keyword type to limit results to families associated with that keyword:
- Family Keywords: keyword must be assigned directly to the family.
- Student Keywords: at least one student must have the selected keyword.
- Class Keywords: at least one student must have an ACTIVE enrollment in a class assigned the selected keyword.
- Camp Keywords: at least one student must have an ACTIVE enrollment in a camp assigned the selected keyword.
- Select a keyword type to limit results to families associated with that keyword:
Apply Class/Camp Filters
These filters work with the Enrollment Status filters to determine if the System should consider enrollments in Active or Inactive classes/camps.

Status
- Active – the class/camp is currently marked active.
- Inactive – the class/camp is currently marked inactive.

Choose Class
- Limits results to families with ACTIVE enrollments in the selected class(es) as of the As of Date.

Choose Camp
- Limits results to families with ACTIVE enrollments in the selected camp(s) as of the As of Date.
- Camp enrollments are considered ACTIVE from the date of the student’s first selected block through the last selected block, including any days in between.
Apply Ledger Filters

Choose Program
- Limits results to charges assigned to the selected program(s) and payments that were applied to those charges within the report’s date range.
- Leave blank to include all programs.

- Limits results to charges associated with the selected charge categories and payments applied to them within the report’s date range.
- Leave blank to include all charge categories.
Adjust Display Options (If Needed)

- Filters out families whose charges are not yet past due.

- Breaks out aging buckets for more detail.

- Landscape option available for wider reports.

After reviewing your selected filters, the Aged Accounts Report can be generated in the following formats:

Troubleshooting & FAQs

Why am I seeing unexpected families in the results?
- Review the Enrollment Status filter. Results are determined based on the selected As of Date, which can impact whether a student is considered Active, Previously Enrolled, Enrolled in the Future, or Never Enrolled.

Why do my totals not match other financial reports?
- Verify that the same Location(s), Program(s), and Charge Categories are used across all reports being compared. Misaligned reconciliation points can create apparent discrepancies.

Why do camp enrollments appear active across multiple days?
- Camp enrollments are considered ACTIVE from the first selected block date to the last selected block date, including all intermediate days.
