What is the Student Anniversary List Report (STU-4)?

The Student Anniversary List Report (STU-4) generates a list of students in your database along with each student’s Anniversary Charge Eligibility Date, mailing address, and email address information. Use this report to review student anniversary dates, identify students eligible for anniversary-related charges, and export anniversary details for review outside iClassPro.

The Student Anniversary List Report (STU-4) includes students who match the selected report filters and displays anniversary-related information for those students.

Key Report Details

The report can include:

  • Student name
  • Anniversary Charge Eligibility Date
  • Mailing address
  • Email address information

The Anniversary Charge Eligibility Date is the date when the student becomes eligible to be charged an Anniversary Fee. This date does not change unless it is manually edited.

The System determines whether an Anniversary Charge is due based on the student’s Last Anniversary Charge Date. The Last Anniversary Charge Date updates automatically whenever an Anniversary Charge is created.

Important Notes

  • Chosen filters that relate to enrollments produce results that are true as of the day you generate the report.
  • If you commonly use the same filters when running this report, you can save them as Preset Filters.
    • Load a Preset Filter whenever you open the report page.
    • Set your date range.
    • Select the button for your preferred export format.

Step-By-Step Instructions

Use the filters and display options to control which students appear on the report and how their information is formatted.

General Filters

  • Advanced Active/Inactive Search or As Of Date
    • If Advanced Active/Inactive Search is disabled, the System uses the As Of Date to find students who are active as of that date.
    • The As Of Date defaults to the current date.
    • When searching by As Of Date, you can specify an enrollment status:
      • Currently Enrolled (Active) — includes families/students that have an ACTIVE type enrollment in classes/camps on the As Of Date, regardless of past or future enrollment status
      • Enrolled in the Future (Only) — includes families/students that do not have a current ACTIVE type enrollment in classes/camps on the As Of Date, but do have an ACTIVE type enrollment after that date
      • Previously Enrolled (Only) — includes families/students that do not have a current ACTIVE type enrollment in classes/camps on the As Of Date, but did have an ACTIVE type enrollment prior to that date
      • Never Enrolled — includes families/students that have no recorded ACTIVE type enrollments in classes/camps
  • If Advanced Active/Inactive Search is enabled, you can enter date ranges:
    • Active Date Search — students must have had an active enrollment within the specified date range
    • Inactive Date Search — students must have been inactive within the specified date range
    • Leaving both options enabled means both statements must be true:
      • The student must have been active within the specified active date range.
      • The student must have been inactive within the specified inactive date range.
  • Enrollment Type
    • Include Class Enrollments — includes only students with ACTIVE type Class enrollments during the specified date range or on the specified As Of Date
    • Include Camp Enrollments — includes only students with ACTIVE type Camp enrollments during the specified date range or on the specified As Of Date
    • Camp enrollments are considered ACTIVE in a camp for a period of time starting with the first block the student selected and ending with the last block.
      • For example, if a student is enrolled only on May 5 and May 8, their enrollment is considered active from May 5–May 8, including May 6 and May 7.
    • Any/All — if both enrollment types are selected, this option determines whether results should include students who meet any selected criteria or all selected criteria:
      • Any — includes students with either class enrollments or camp enrollments
      • All — includes students with both class enrollments and camp enrollments
  • Enrollment Type Status
    • Active
    • Single Day
    • Make Up
    • Trial
    • Wait List
  • Locations
    • Includes only students with enrollments associated with the selected Location(s).
  • Anniversary Month
    • Includes only students whose Anniversary Charge Eligibility Date occurs in the selected month.
  • Class/Camp Status
    • Active — limits the report to students with enrollments in classes/camps that are currently marked Active
    • Inactive — limits the report to students with enrollments in classes/camps that are currently marked Inactive
  • Choose Instructor
    • Select an Instructor to limit the report to students with an active enrollment in a class associated with the selected Instructor.
    • Because students are only associated with an Instructor when an active enrollment is present, this filter does not affect the results if the Status filter is set to All or Inactive.
    • Entries are not included on the final report for any selected instructor/staff member who was not associated with specified enrollments, events, etc., during the designated date/date range.
    • If an instructor was deleted after the start date of the report, the results include relevant entries for the instructor on the date(s) before they were deleted.
    • If an instructor was created or attached to an event after the end date of the report, the instructor is not included in the results.
  • Choose Program
    • Select a Program to limit the report to students with an active enrollment in a class associated with that Program.
    • Because students are only associated with a Program when an active enrollment is present, this filter does not affect the results if the Status filter is set to All or Inactive.
  • Choose Family Keywords
    • Select a Family Keyword to limit the report to students who have the selected Family Keyword assigned.
  • Choose Student Keywords
    • Select a Student Keyword to limit the report to students who have the selected Student Keyword assigned.
  • Choose Program Keywords
    • Select a Program Keyword to limit the report to students enrolled in a class/camp that has the selected Program Keyword assigned.
  • Choose Level
    • Select a Level to limit the report to students with an active enrollment in a class/camp with that specific Level attached.

Class/Camp/Appointment Filters

  • Pre-filter
    • Limits the results shown in the Choose Class/Camp/Appointment filter(s).
    • Only affects the options shown in the Choose Class/Camp/Appointment filter(s).
    • If specific classes, camps, or appointments are selected, those selections affect the data shown on the final report.
  • Choose Instructor
    • Select one or more Instructor(s) to limit the Choose Class/Camp/Appointment filter(s) to classes/camps/appointments associated with the specified Instructor(s).
    • Entries are not included on the final report for any selected instructor/staff member who was not associated with specified enrollments, events, etc., during the designated date/date range.
    • If an instructor was deleted after the start date of the report, the results include relevant entries for the instructor on the date(s) before they were deleted.
    • If an instructor was created or attached to an event after the end date of the report, the instructor is not included in the results.
  • Choose Class
    • Select one or more classes to limit the report to students with an active enrollment in the selected class(es), as determined by Advanced Active/Inactive Search or As Of Date.
  • Choose Camp
    • Select one or more camps to limit the report to students with an active enrollment in the selected camp(s), as determined by Advanced Active/Inactive Search or As Of Date.
  • Choose Appointment
    • Select one or more appointments to limit the report to students with an active enrollment in the selected appointment(s), as determined by Advanced Active/Inactive Search or As Of Date.

NOTE: Changing the date range of the report after making any Pre-filter selections may cause some selections to become invalid. Invalid selections are not reflected on the final report.

Class Filters

  • Choose Session
    • Select a Session to limit the report to students with an active enrollment in a class tied to that specific Session.
    • The Choose Session filter only displays current/future sessions by default.
    • Enable Show Past to display past Sessions/Rolling Sessions, if needed.
  • Choose Class Keywords
    • Select one or more Keywords to limit the report to students enrolled in a class that has the selected Class Keyword assigned.

    • Select one or more Keywords to limit the report to students enrolled in a camp that has the selected Camp Keyword assigned.

    • Select one or more Keywords to limit the report to students enrolled in a camp that has the selected Appointment Keyword assigned.

Display Filters

  • Print Name as ‘Last Name, First Name’
    • By default, the report shows the student name in FIRSTNAME LASTNAME format.
    • Enable this option to show student names in LASTNAME, FIRSTNAME format.
    • This format can make the report easier to sort in Excel or another spreadsheet program.
  • Show Address in Separate Columns
    • Splits the address into separate Address, City, State, and Zip columns.
  • Show All E-mail Addresses
    • By default, the report shows only the primary email address for the family.
    • Enable this option to show all email addresses on the report.
  • Sort Order
    • Month -> Day -> Name — sorts the results alphabetically by the name of the month, then chronologically by the day, then alphabetically by the student name in last-name-first order
    • Month-> Name — sorts the results alphabetically by the month name, then by the student name in last-name-first order
    • Name — sorts the results alphabetically by the student name in last-name-first order

Generating the Report

  • Select your desired export format (such as HTML, PDF, XLS, or CSV) at the bottom of the report window.
  • The System will immediately generate the report in the selected format.

Troubleshooting & FAQs

  • Why are enrollment-related results based on today instead of the original enrollment dates?
    • Chosen filters that relate to enrollments produce results that are true as of the day you generate the report.
  • Why did some Pre-filter selections stop applying after I changed the date range?
    • Changing the report date range after making Pre-filter selections can cause some selections to become invalid. Invalid selections are not reflected on the final report.
  • Why does the Instructor filter not change the results?
    • Students are only associated with an Instructor when an active enrollment is present. The Choose Instructor filter does not affect results if the Status filter is set to All or Inactive.
  • Why does the report include camp enrollment dates when the student was not enrolled in every block between those dates?
    • Camp enrollments are considered ACTIVE from the first selected block through the last selected block.
      • For example, if a student is enrolled only on May 5 and May 8, the System considers the enrollment active from May 5–May 8. 
  • How can I show all family email addresses instead of only the primary email address?
    • Enable Show All E-mail Addresses in the display options before generating the report.
