The Family List Report (FAM-1) provides a detailed list of families in your database, including guardian information, contact details, balances, and payment activity. Administrators can apply a wide range of filters to refine results based on enrollment status, dates, locations, programs, keywords, and more, then export the report in multiple formats for review or distribution.

Overview
The Family List Report generates a list of families currently stored in your database. Each result includes key family-level information such as:
- Primary guardian name
- Secondary guardian name
- Primary phone number
- Current balance due
- Date of last payment
Chosen filters that relate to enrollments reflect data that is accurate as of the date the report is generated, not retroactively.
Saved Preset Filters
- Frequently used filter combinations can be saved as Presets.
- Presets can be loaded each time the report is opened, allowing you to quickly reapply preferred settings.
- After loading a Preset, set the desired date range and generate the report in the selected format.
Available Formats
The Family List Report can be generated in the following formats:
- HTML
- XLS
- CSV
Accessing the Report
- From the main navigation menu, go to REPORTS.
- Select Family List Report (FAM-1).
Step-by-Step Instructions
General Filters
Advanced Active/Inactive Search or As Of Date
- If disabled, the System uses the selected As Of Date (defaults to the current date) to determine family activity.
- When searching by an As Of Date, you must also choose an enrollment status:

Currently Enrolled (Active)
- Includes families with at least one ACTIVE enrollment on the As Of Date, regardless of past or future enrollment status.

Enrolled in the Future (Only)
- Includes families without a current ACTIVE enrollment on the As Of Date, but with an ACTIVE enrollment after that date.

Previously Enrolled (Only)
- Includes families without a current ACTIVE enrollment on the As Of Date, but with an ACTIVE enrollment prior to that date.

Never Enrolled
- Includes families with no recorded ACTIVE enrollments in classes or camps.

Advanced Date Range Options
When Advanced Active/Inactive Search is enabled, additional date ranges become available:

Active Date Search
- Families must have had an active enrollment within the specified date range.

Inactive Date Search
- Families must have been inactive within the specified date range.
- Leaving both options enabled requires that both conditions are met.
Enrollment Type

Include Class Enrollments
- Limits results to families with ACTIVE class enrollments during the selected date range or As Of Date.

Include Camp Enrollments
- Limits results to families with ACTIVE camp enrollments during the selected date range or As Of Date.
Camp Enrollment Timing Note
- Camp enrollments are considered active from the first selected block through the last selected block.
- For example, enrollment on May 5 and May 8 is treated as active from May 5–May 8, including May 6 and 7.
Any / All Enrollment Logic
When both class and camp enrollments are selected:

Any
- Includes families with either class or camp enrollments.

All
- Includes families with both class and camp enrollments.
Enrollment Type Status
Families may be filtered by the following enrollment types:
- ACTIVE
- SINGLE DAY
- MAKEUP
- TRIAL
- WAIT
Location and Status Filters

Locations
- Includes only families with enrollments tied to the selected Location(s).

Class/Camp Status
- Active: limits results to enrollments currently marked Active.
- Inactive: limits results to enrollments currently marked Inactive.
Instructor, Program, and Keyword Filters

Choose Instructor
- Limits results to families with enrollments associated with the selected Instructor(s).
- Instructors not associated with enrollments during the selected date range are excluded.

Choose Program
- Limits results to families with an active enrollment in a class tied to the selected Program.
- This filter has no effect if the status is set to All or Inactive.

Referral Source
- Limits results to families with the selected Referral Source assigned.

Choose Instructor (Pre-filter)
- Limits the class/camp selection list to items associated with selected Instructor(s).

Choose Class
- Includes families with active enrollments in the selected class.

Choose Camp
- Includes families with active enrollments in the selected camp.

Choose Appointment
- Includes families with active bookings for the selected appointment.
Pre-Filter Behavior
- Pre-filters limit which classes, camps, or appointments appear as selectable options.
- Changing the report date range after selecting pre-filters may invalidate previous selections.
Display Options

Print Guardian Name as “Last Name, First Name”
- Reverses the default name format to improve sorting in spreadsheets.

Show Custom Fields
- Adds columns for Family Custom Fields and displays any associated data.
Generate the report
- Confirm your filters.
- Select your preferred format (HTML, PDF, XLS, or CSV) to generate the report.
Troubleshooting & FAQs

Why do enrollment-based results change depending on the date I select?
- Enrollment-related filters always reflect data as of the selected As Of Date or date range, not historical snapshots.

Why is a selected instructor missing from the report?
- Instructors without associated enrollments during the selected date range are excluded from results.

Why did my selected class or camp disappear after changing the date range?
- Changing the date range can invalidate pre-filter selections if they no longer meet the criteria.

Why does the Program filter not affect my results?
- Program filtering only applies when an active enrollment exists. It does not apply if status is set to All or Inactive.
