The Staff Portal Time Clock allows staff members to record their working hours by clocking in and out directly from the Staff Portal, if administrators have enabled the required settings. Administrators can configure whether staff members may clock in/out, whether the Time Clock displays at all, and whether geolocation services are required.
Overview
The Time Clock in the Staff Portal allows staff members to enter Time Clock punches without needing access to the Office Portal. When enabled, staff members will see a Time Clock option after logging in. Administrators can enable or restrict staff access, allow the Time Clock to display without permitting clocking in/out, and enable geolocation requirements.
If geolocation is enabled, staff members must allow their device browser to access their location before the system displays clock-in/out buttons. The Office Portal Time Clock list will display a location pin for entries created from the Staff Portal.
Accessing the Feature
- Log in to the Staff Portal using an authorized staff account.
- If enabled by an administrator, select Time Clock from the main menu options.
Step-by-Step Instructions
For Staff
- Log in to the Staff Portal.
- Select Time Clock.
- Use the Punch Pad to clock in or out, depending on whether your account is configured for:
- One-punch type, or
- Two-punch type
- If geolocation is required:
- Allow your device/browser to access your physical location.
- If access is blocked, the system hides the clock-in/out buttons and displays a warning until access is granted.
Staff Experience Details
- If the Show time clock in Staff Portal option is enabled and the staff member has a Timeclock PIN:
- The System checks whether the staff member is clocked in when they access Attendance or Skill Tracking.
- If not clocked in, a prompt displays:
“As of [date] [time] you have not clocked in.”
- Geolocation data, if enabled, records the device’s approximate geographic coordinates at the time of the punch.
For Administrators
Administrators must enable the appropriate Staff Portal Time Clock settings under SETTINGS>STAFF PORTAL.
To allow staff to access and/or use the Time Clock:
- Enable Staff Portal
- Enable Clock-In/Clock-Out
- Show Time Clock in Staff Portal
- Require Geolocation for Clock-In/Clock-Out (optional)
Administrator Configuration Notes
- All Staff Portal Time Clock-related options are disabled by default.
- Administrators may choose to show the Time Clock without allowing staff to clock in/out.
- When geolocation is enabled:
- Staff must permit location services on their device.
- A location pin displays on Time Clock records created from the Staff Portal.
- Selecting the pin opens a Google Map showing the approximate punch location.
- Geolocation services provide approximate location and should be used only as supplemental data.

Why are the clock-in/out buttons hidden?
- If geolocation is required, staff must grant browser/device permission to access their location before the buttons display.

Why do staff receive a message saying they are not clocked in?
- When Show time clock in Staff Portal and a Timeclock PIN are enabled, the System alerts staff if they try to access Attendance or Skill Tracking while not clocked in.

Why can staff see the Time Clock but cannot clock in/out?
- Administrators can enable Time Clock visibility without enabling Clock-In/Clock-Out permission.
