Anniversary Charges can be billed automatically during online class or camp registration in the Customer Portal/Mobile App. These charges are added to the customer’s cart when a student/family becomes eligible and is auto-approved for enrollment. Settings for these charges are configured separately for classes and camps.
Overview
When families use the Customer Portal or Mobile App to register for classes or camps, the system can be configured to automatically add an Anniversary Charge to their cart if they are eligible to be charged.
Key points:
- The charge is assessed per family or per student, based on the setup in Anniversary Charge settings.
- Charges only apply when a student has an ACTIVE enrollment. Enrollment requests do not trigger a fee as the system does not know whether the request will be approved.
- Anniversary Charges appear as part of checkout, along with tuition fees.
Customer Portal Settings
Anniversary Charges in the Customer Portal are controlled under SETTINGS>CUSTOMER PORTAL>OTHER SETTINGS.
You can choose to enable Anniversary Charges for:
- Class enrollments only
- Camp enrollments only
- Both class and camp enrollments
Class Registration
To bill Anniversary Charges during online class registration:
- Navigate to SETTINGS>CUSTOMER PORTAL>OTHER SETTINGS.
- Expand the Class Registration section.
- Enable the Anniversary Fee option.
- NOTE: the fee will only be triggered if an ACTIVE-type enrollment is auto-approved for the student.
- (optional) Enable Charge Anniversary Fee for Free Classes if you wish to charge the anniversary fee even if the total tuition cost is $0.
- Select an Anniversary Fee Charge Category from the drop-down.
- NOTE: The system will use the financial Program defined in your Anniversary Charge settings.
- Scroll down and select Save Settings.
Camp Registration
To bill Anniversary Charges during online camp registration:
- Navigate to SETTINGS>CUSTOMER PORTAL>OTHER SETTINGS.
- Expand the Camp Registration section.
- Enable the Anniversary Fee option.
- NOTE: the fee will only be triggered if an ACTIVE-type enrollment is auto-approved for the student.
- If triggered, the system will use the same Anniversary Fee Charge Category defined in the Class Registration section.
- NOTE: The system will use the financial Program defined in your Anniversary Charge settings.
- Scroll down and select Save Settings.
Troubleshooting & FAQs

Why wasn’t a family/student charged an Anniversary Fee when registering online?
- The student must have an ACTIVE enrollment to be deemed eligible for an Anniversary Fee; enrollment requests do not trigger charges.
- If the class had a $0 tuition fee, ensure that the “Charge Anniversary Fee for Free Classes” option is enabled in the Class Registration section.
- Ensure that the student’s Anniversary Charge Eligibility Date is not in the future.
- Ensure that the student does not have an Anniversary Charge Override in place for $0.

Can Anniversary Charges apply to free classes?
- Yes. Enable the “Charge Anniversary Fee for Free Classes” option in the Class Registration section.

Will the Customer Portal ever apply multiple Anniversary Charges?
- Yes. If your setup is configured per location, the family/student may be billed separately for each Location at which they are actively enrolled.
