What are Event Types?

Event Types allow administrators to organize events into clearly labeled sections within the Customer Portal, making it easier for families to browse and register. While all events continue to be managed together on the staff side, Event Types control how those events are grouped and displayed to customers during online registration.

Overview

Event Types are designed to improve how events appear in the Customer Portal without changing how events are managed internally. Many class-based businesses offer multiple types of short-term programs, such as summer events, holiday events, clinics, and special activities. Event Types allow administrators to group these offerings into separate, clearly labeled sections with customizable titles.

On the staff side of the System, all events continue to appear together on the Events page, regardless of which Event Type is assigned. Existing events can be sorted into newly created Event Types, and new events can be assigned an Event Type during setup.

Additional functionality includes the ability to filter events by Event Type on the Events page. Administrators can select one, multiple, or all Event Types using the Event Type filter to quickly locate specific events.

Accessing the Feature

Event Types are managed through Event Settings.

  1. From the main navigation menu, go to SETTINGS>SETUP.
  2. Expand the EVENT SETTINGS section.
  3. Expand the Event Types area.

Step-by-Step Instructions

Step 1: Create Event Types in Your Settings

  1. Either click Add Event Type or click the pencil/edit icon to the left of an existing event type to edit.
  2. Enter a Name for your Event Type, providing both the plural and singular titles.
    • If only one event of the Event Type is active, the system will display the singular form for the tile/heading on the Customer Portal. If multiple events of that type are active, it will use the plural form.
  3. Assign a Charge Category to be assigned to any tuition charges that are created for enrollments in events associated with this Event Type.
  4. If desired, assign an Image to the event type. This image will be shown in the Customer Portal to access a list of events using that particular type. The recommended image size for event types is 400px x 200px.
  5. Click Save.

Step 2: Adding/Editing Event Types on Events

  1. Go to the Events page.
  2. Find the event you would like to edit (Events must be edited individually).
  3. Click the pencil icon to edit the event.
  4. Use the Event Type drop-down to select an event type.
  5. Save the changes.

Step 3: View your Customer Portal to see the Changes

  1. Preview your Customer Portal by going to https://portal.iclasspro.com/[account_name].
    • NOTE: [account_name] will be replaced by your unique iClassPro account name.
  2. Go to BOOKINGS and look for the new event types to be displayed.

Note: Events must be set to show online in both locations below for Event Types to appear:

  • On the "Customer Portal" tab for individual events.
  • SETTINGS>CUSTOMER PORTAL>OTHER SETTINGS>GENERAL SETTINGS.

Troubleshooting & FAQs

  • Do Event Types change how events are managed on the staff side?
    • No. All events continue to appear together on the EVENTS page. Event Types only affect how events are grouped and displayed in the Customer Portal.
  • Can I assign more than one Event Type to an event?
    • No. Each event can only be assigned to one Event Type.
  • Why are there both singular and plural forms of the Event Type?
    • If only one event of the Event Type is active, the system will display the singular form for the tile/heading on the Customer Portal. If multiple events of that type are active, it will use the plural form.
  • Why are my Event Types not showing in the Customer Portal?
    • Confirm that the event is set to show online in its Individual Event Settings and that Show events and allow visitors to register for them is enabled under SETTINGS>CUSTOMER PORTAL>OTHER SETTINGS>GENERAL SETTINGS.
