Which Filters Are Available for the ENROLLMENTS Page?

IN THIS ARTICLE:
Learn about the filtering options available from the ENROLLMENTS page to help narrow your results when sending Email Blasts, generating reports, or just to see at a glance which enrollments are associated with particular classes/camps/programs/levels.

After you have finished with a particular set of filters, be sure to click RESET FILTERS or press ESC on your keyboard to clear them.

  • Reset Filters - Clears all selected filters
  • New Class Enrollment Wizard - Launches the New Enrollment Wizard to create a new class enrollment.
  • Show Events
    • Classes
    • Camps
  • Enrollment Between - shows only enrollments that existed during the specified date range (based on the start/drop date of the enrollment).
    • Start Date - defines the start date of the “Enrollment Between” date range.
    • End Date - defines the end date of the “Enrollment Between” date range.
    • NOTE: Camp enrollments are considered ACTIVE in a camp for a period of time starting with the first block they have selected and ending with the last block. Therefore, if a student is enrolled only on May 5th and May 8th, their enrollment will be considered active from May 5th-May 8th (also encompassing May 6th and 7th).
  • All Enrollment Types - allows you to limit results to only show enrollments with the selected enrollment status(es) (based on enrollments within the specified "Enrollment Between" date range).
    • ACTIVE - only shows enrollments where the Enrollment Status is marked as Active.
    • TRIAL - only shows enrollments where the Enrollment Status is marked as Trial.
    • MAKEUP - only shows enrollments where the Enrollment Status is marked as Makeup.
    • SINGLE DAY - only shows enrollments where the Enrollment Status is marked as Single Day.
      • This filter only appears if Single Day enrollments are activated
      • This filter name will vary based on the value defined under SETTINGS>SETUP>CLASS SETTINGS>GENERAL CLASS SETTINGS>"Single Day Enrollment Label."
    • WAITLIST - only shows enrollments where the Enrollment Status is marked as Waitlist.
    • NOTE: If no enrollment type is selected, the system will display all enrollments, regardless of assigned Enrollment Type.
  • Notification Status (WAITLIST only) - only displayed if WAITLIST is selected as the Enrollment Type. Limits the results based on whether notification status.
    • ALL - displays all WAITLIST enrollments, regardless of whether the family has been sent an email notifying them that there is an opening in the class for which they are Waitlisted.
    • NOTIFIED - displays only WAITLIST enrollments for which the family has been sent an email notifying them that there is an opening in the class for which they are Waitlisted.
    • UNNOTIFIED - displays only WAITLIST enrollments for which the family HAS NOT been sent an email notifying them that there is an opening in the class for which they are Waitlisted.
  • Selected Availability (WAITLIST only) - only displayed if WAITLIST is selected as the Enrollment Type. Limits the results based on whether the class for which the enrollment is Waitlisted has available openings.
    • ALL - displays all WAITLIST enrollments, regardless of whether the class for which the enrollment is Waitlisted has available openings.
    • NONE - displays only WAITLIST enrollments for which the class for which the enrollment is Waitlisted has no available openings.
    • OPENINGS - displays only WAITLIST enrollments for which the class for which the enrollment is Waitlisted has openings available.
  • Student Status (WAITLIST only) - only displayed if WAITLIST is selected as the Enrollment Type. Allows you to limit the results based on whether the student is currently Active in another class/camp.
    • ALL - displays all WAITLIST enrollments, regardless of whether the student is currently Active in another class/camp.
    • ACTIVE - displays only WAITLIST enrollments where the student being Waitlisted is currently Active in another class/camp.
    • INACTIVE - displays only WAITLIST enrollments where the student being Waitlisted is NOT currently Active in another class/camp.
  • All Instructors - allows you to limit results only to enrollments in classes/camps with the selected Instructor(s) attached.
  • All Start Times - allows you to limit results to only show enrollments in classes that start within a specific 1/2 hour time frame (based on enrollments within the specified "Enrollment Between" date range).
    • Times will only show if there is a class that meets the criteria (e.g., if your classes do not start until 4pm, you will not see any start time options prior to "4:00 pm - 4:29 pm").
  • All Keywords - allows you to limit results to only show enrollments associated with the selected Keyword(s).
  • All First Days - allows you to limit results to students meeting the selected “First Enrollment” type (based on their enrollment on the specified "Enrollment Between" date range).
    • First Day Ever - limits results only to enrollments for students for which no previous enrollment history exists in the database, or who have never been marked "Present" for a class. (This means that if they have a past enrollment but were only marked "Absent", they will continue to show "First Time Ever" until an attendance record is created where they are marked "Present.")
    • First Day In Class - limits results only to enrollments for students for which no previous enrollments exist in the database connected with this specific class (based on the internal Class ID).
    • First Day At Location - limits results only to enrollments for students for which no previous enrollments exist in the database connected with the selected Location.
    • First Day In Level -  limits results only to enrollments for students for which no previous enrollments exist in the database connected with the selected Class Level.
  • All Programs - allows you to limit results to only show enrollments in classes/camps associated with the selected Program(s) (based on enrollments within the specified "Enrollment Between" date range).
  • All Drops - allows you to limit results only to enrollments with a drop date set within a specified date range.
    • Drop Type - limits results to only enrollments matching the specified Drop Type.
      • ALL - if selected, all enrollments matching the other drop criteria will be displayed, regardless of Drop Type.
      • DROP - if selected, only enrollments matching the other drop criteria AND whose Drop Type is "DROP" will be included in the results.
      • TRANSFER - if selected, only enrollments matching the other drop criteria AND whose Drop Type is "TRANSFER" will be included in the results.
    • "Drops between" - limits results to enrollments with a drop date within the specified date range. Upon launch, the start/end dates will be blank.
      • If ALL is selected in the Enrollment Status filter and no date range is specified in the "All Drops" filter, the system will show all enrollments.
        • If ALL is selected in the Enrollment Status filter and a date range is specified in the "All Drops" filter, the system will look for any enrollments with a drop date within the specified "All Drops" date range (regardless of current Active/Inactive status).
      • If INACTIVE is selected from the Enrollment Status filter and no date range is specified in the "All Drops" filter, the system will only show enrollments that were Inactive within of the "Enrollment Between" date range.
        • If INACTIVE is selected from the Enrollment Status filter and a date range is specified in the "All Drops" filter, the system will only show enrollments that were Inactive within of the "Enrollment Between" date range AND that also have a dropdate within the specified "All Drops" date range.
      • If any of the other Enrollment Types (ACTIVE/TRIAL/MAKEUP/SINGLE DAY/WAIT) are selected from the Enrollment Status filter and no date range is specified in the "All Drops" filter, the system will only show enrollments of that Type within of the "Enrollment Between" date range.
        • If any of the other Enrollment Types (ACTIVE/TRIAL/MAKEUP/SINGLE DAY/WAIT) are selected from the Enrollment Status filter and a date range is specified in the "All Drops" filter, the system will only show enrollments of that Type within of the "Enrollment Between" date range AND that also have a dropdate within the specified "All Drops" date range.
  • All Waitlist Priority Groups (if enabled) - limits results to only enrollments assigned to the selected Waitlist Priority Group(s). 
    • Also includes an option for “Unprioritized.”
  • Class Filters
    • Class Status  - allows you to limit results based on the status of the Waitlisted class (Active/Inactive).
      • ALL - shows ALL Waitlisted enrollments for classes, regardless of whether the status is marked Active or Inactive.
      • ACTIVE - only shows Waitlisted enrollments for classes where the status is marked as Active.
      • INACTIVE - only shows Waitlisted enrollments for classes where the status is marked as Inactive.
    • Day of the week - only shows classes that meet on the selected day(s) of the week.  If you do not select a specific day of the week, classes for all days will be shown.
    • All Classes - allows you to limit results only to enrollments attached to the selected class(es).
    • All Levels - allows you to limit results to only show enrollments in classes associated with the selected Level(s) (based on enrollments within the specified "Enrollment Between" date range).
    • All Sessions - allows you to limit results to only show enrollments in classes associated with the selected Session(s) (based on enrollments within the specified "Enrollment Between" date range).
  • Camp Filters 
    • Camp Status  - allows you to limit results based on the status of the Waitlisted camp (Active/Inactive).
      • ALL - shows ALL Waitlisted enrollments for camps, regardless of whether the status is marked Active or Inactive.
      • ACTIVE - only shows Waitlisted enrollments for camps where the status is marked as Active.
      • INACTIVE - only shows Waitlisted enrollments for camps where the status is marked as Inactive.
    • All Camps - allows you to limit results only to enrollments attached to the selected camp(s).
    • All Camp Types - allows you to limit results to only show enrollments in camps associated with the selected Camp Type(s) (based on enrollments within the specified "Enrollment Between" date range).
    • All Registration Periods - allows you to limit results to only show enrollments in camps meeting the selected Registration Period(s) (based on enrollments within the specified "Enrollment Between" date range).
      • Future Registrations - limits results to only show enrollments which start AFTER the end of the “Enrollment Between” date range.
      • Current Registrations - limits results to only show enrollments which are active during the “Enrollment Between” date range.
  • Class/Camp Meets Within the Date Range - if enabled, results will be limited to only enrollments in classes that had scheduled meeting dates within the specified date range.
  • Exclude Transferred Enrollments - if enabled, results will be limited to exclude any enrollments that transferred within the specified date range.
  • Exclude Non-Class/Camp Programs - if enabled, results will be limited to exclude any enrollments in classes/camps where the associated Program has been marked as a "Non-Class/Camp Program" after the enrollment was created.
