Overview

The Appointment Cancellations/No-Shows Report (STA-14) produces a report showing appointments that were canceled or marked as no-show within the specified date range.

Administrators can use this report to review cancellation and no-show activity for appointments by location, program, instructor, zone, service, or appointment keyword. The report also includes payment-related details, such as booking amount, cancellation fees, amount paid, refunds issued, and total due.

Accessing the Report

  1. From the main navigation menu, go to Reports.
  2. Locate the Appointment Cancellations/No-Shows Report (STA-14).
  3. Select the report to open the report filters.

Step-by-Step Instructions

  1. Open the Appointment Cancellations/No-Shows Report (STA-14).
  2. Enter the From/To Dates for the report.
  3. Select at least one Location.
  4. Apply any additional filters needed to narrow the report results.
  5. Choose the preferred report format.
  6. Generate the report.

General Filters

  • From/To Dates
    • The System only shows results for bookings that were or will be active within the specified date range.
  • Locations
    • Select one or more Locations to limit results to bookings associated with the selected Location(s).
    • You must select at least one Location before the option to generate the report becomes available.
  • Choose Program
    • Select one or more Program(s) to limit results to bookings that were canceled or marked as no-show for appointments associated with the selected Program(s).
  • Choose Instructor
    • Select one or more Instructor(s) to limit results to bookings that were canceled or marked as no-show for appointments associated with the selected Instructor(s).
  • Choose Zone
    • Select one or more Zone(s) to limit results to bookings that were canceled or marked as no-show for appointments associated with the selected Zone(s).
  • Choose Service
    • Select one or more Service(s) to limit results to bookings that were canceled or marked as no-show for appointments associated with the selected Service(s).
  • Choose Appointment Keywords
    • Select one or more appointment Keyword(s) to limit results to bookings that were canceled or marked as no-show for appointments associated with the selected Keyword(s).

Important Notes About Instructor Results

Entries will not be included on the final report for any selected instructor/staff member who was not associated with the specified enrollments, events, or other applicable records during the designated date or date range.

Additional instructor-related rules include:

  • If an instructor was deleted after the start date of the report, the results include relevant entries for that instructor on the date(s) before they were deleted.
  • If an instructor was created or attached to an event after the end date of the report, the instructor will not be included in the results.

Display Options

The report includes the following display option:

  • Show Guardian Name
    • When enabled, adds a column to the report with the primary guardian’s name for each student.

Generating the Report

  • Select your desired export format (such as HTML, PDF, XLS, or CSV) at the bottom of the report window.
  • The System will immediately generate the report in the selected format.

Troubleshooting & FAQs

  • Why can't I generate the report?
    • You must select at least one Location before the option to generate the report becomes available.
  • Why is an instructor/staff member missing from the report results?
    • The instructor/staff member must be associated with the specified enrollments, events, or other applicable records during the selected date or date range. If they were not associated with matching records during that time, the report will not include entries for them.
  • Will deleted instructors appear on the report?
    • If an instructor was deleted after the report start date, the report includes relevant entries for that instructor on the date(s) before they were deleted.
  • Will newly created instructors appear on the report?
    • If an instructor was created or attached to an event after the report end date, the instructor will not be included in the results.
  • How do I include guardian names on the report?
    • Enable Show Guardian Name before generating the report. This adds a column with the primary guardian’s name for each student.
