What is PayTo and How Do I Use It in the Office Portal? (Australia)

PayTo lets an Australian family pay you straight from their bank account, within limits they approve in their banking app.

Note

This article is for staff using the Office Portal. Families: see How Do I Save and Pay With PayTo in the Customer Portal? (Australia).

What is PayTo?

PayTo is a bank-to-bank payment method for Australian businesses. The family sets limits on what you can collect. The account holder then approves the agreement in their banking app.

  • Australia only — on for eligible Australian accounts. Nothing to turn on. Don't see it? Contact iClassPro Support.
  • Held by the bank — the family's bank holds the agreement. There is no document to print or export.
  • Approval — the account holder approves each new agreement and each one-time payment in their banking app. Staff can't approve it for them.
  • Limits — the bank declines any payment over the limits.

Warning

A PayTo agreement stops working one year after it is saved. The bank then declines every payment on it, including scheduled billing. The family must save a new PayTo method before then.

This article covers four separate tasks. Go to the one you need:

How PayTo limits work

The family sets three limits when the agreement is saved:

  • Maximum Authorization Amount (AUD) — the most you can collect.
    • On demand (no limit) — the most for one payment.
    • Any other frequency — the most in total each period. AUD 500 with Monthly allows AUD 500 in total each month.
  • Billing Frequency — On demand (no limit), Daily, Weekly, Bi-weekly, Monthly, Quarterly, Half-yearly or Yearly. Starts on Monthly.
  • Max Payments Per [period] — 1 to 99 payments each period, such as Max Payments Per Month. Not shown for On demand.

Limits can't be changed later. The family saves a new PayTo method instead.

Note

A default PayTo method with a set frequency (not On demand) is kept for scheduled billing. Families can't use it for one-off Customer Portal payments. Staff can still use it, but every payment counts toward the limits.

For one bank account that covers both scheduled billing and one-off buys, the family should choose On demand (no limit).

Save a PayTo agreement

  1. On the Families page, open the family, then select the Billing tab.
  2. Under the guardian's name, select Add Payment Method to open the payment form.
  3. Select PayTo, then enter the account holder's bank details as prompted.
  4. Under Set your payment authorization limits, enter the limits the family agreed to. See How PayTo limits work.
    • Maximum Authorization Amount (AUD)
    • Billing Frequency
    • Max Payments Per [period], if shown
  5. Select Save Details to send the agreement to the bank.
  6. An Awaiting bank approval message displays. Select Done to close the form.
  7. Ask the account holder to approve the agreement in their banking app.

✓ You're all set. The PayTo method is saved. A clock icon shows beside it until the account holder approves it. Then the method can be used.

You can also save PayTo during an Enrollment Wizard checkout. The same limit fields display.

Take a one-time PayTo payment

  1. On the family ledger, select NEW PAYMENT. Or start a Point of Sale or Enrollment Wizard checkout.
  2. Select the charges to pay, then choose to pay with a new bank account using PayTo.
  3. Enter the account holder's bank details, then submit the payment.
  4. A Waiting for Bank Approval window opens. Ask the customer to approve the PayTo payment in their banking app.

✓ You're all set. The bank approves the payment, the window closes, and the payment is recorded on the ledger.

  • Not approved — the message "PayTo payment was not approved by the bank." displays.
  • No answer after five minutes — a message says the payment was received and is still processing. You can close the window. The ledger updates on its own when the bank answers.

Pay with a saved PayTo agreement

  1. On the family ledger, select NEW PAYMENT. Or start a Point of Sale or Enrollment Wizard checkout.
  2. Select the family's approved PayTo method as the payment method. PayTo methods still awaiting bank approval are not listed.
  3. Select the charges to pay, then process the payment.

✓ You're all set. The payment is recorded on the ledger. If the bank declines it, a message says why. See Common Questions below.

View a PayTo agreement's details

  1. On the Families page, open the family, then select the Billing tab.
  2. On the PayTo payment method, select the pencil icon (Edit payment method) to open its details.
  3. Review the terms the family approved:
    • Mandate Status — Awaiting bank approval, Active, Rejected by bank or No longer valid.
    • Authorized Maximum — the amount and its period.
    • Authorized Payments — payments allowed each period.
    • Authorized On — when the agreement was approved.
    • Bank Reference — the family can match it in their banking app.

✓ You're all set. You can see what the family approved, without a document to export.

Troubleshooting

▶ Common Questions
▶ Why does a saved PayTo method show a clock icon?

The account holder hasn't approved the PayTo agreement yet. Ask them to check their online or mobile banking for a PayTo request.

▶ Why was a PayTo payment declined?

The decline message shows the reason. Common reasons:

  • The payment is over the Authorized Maximum (per payment for On demand, or the period's total for other frequencies).
  • The period's allowed payments are already used.
  • The agreement is more than a year old.
  • The account holder paused or cancelled the agreement in their banking app.

For an amount over the limit, take a payment at or below the authorized amount, or have the family save a new PayTo method with a higher limit.

▶ Why did a family's scheduled PayTo payments stop working?

PayTo agreements stop working one year after they are saved. Check Authorized On in the payment method's details. If the agreement is about a year old or older, the family needs to save a new PayTo method.

▶ Why does a PayTo method say "Stored payment method invalid"?

The agreement was cancelled or closed at the bank, so it can no longer be charged. Its Mandate Status shows No longer valid. The family needs to save a new PayTo method. The cancellation is recorded in the Audit Log.

▶ Can I print or export a PayTo agreement?

No. The family's bank holds the agreement. View the approved terms in the payment method's details instead. The family can see the full agreement in their banking app.

▶ Can a family change their PayTo limits?

No. Limits are fixed when the agreement is saved. The family saves a new PayTo method with the new limits.
