Overview

The Staff Portal mobile interface provides staff members with a streamlined way to manage daily tasks outside of the Office Portal. Depending on permissions, staff can access Attendance, Skill Tracking, Time Clock, and schedule information using a mobile-friendly browser view.

Permissions determine which modules and menu options appear for each staff member.

Accessing the Feature

  1. Enter the Staff Portal URL in your browser, replacing [YourAccountNameHere] with your iClassPro account name: https://app.iclasspro.com/staffportal/[YourAccountNameHere]
  2. Bookmark the page on your device for easier access in the future.

Logging Into the Staff Portal

Use the email address associated with your staff account to log in.

There are three ways to log in:

  • Email & Password – If you need to set a password first:

    • Click “Forgot Password” on the login screen

    • Check your email and follow the link to verify your email and set your password

    • Log in using your email and password

  • Single Sign-On (SSO) – If it’s enabled, just use your normal work login.

    • Google or Microsoft Login – Choose the option that matches your email on the login screen.

Notes

  • Upon login to either the Office Portal or Staff Portal, staff members will be required to accept iClassPro’s Terms & Conditions/Privacy Policy whenever these are updated.
  • iClassPro will automatically log you out after one hour of inactivity.
    • Note: “Activity” is defined as any action that submits data from the browser to the server. Simply entering information into a text field does not submit anything until an action such as SUBMIT, SAVE, CREATE, etc. is selected.

Step-by-Step Instructions

Use the Staff Portal menu options

  1. Log in to the Staff Portal.
  2. Open the menu at the top right of the page to view available options.
  3. Select the option you need:
    • Dashboard - Returns the staff member to the main screen to select between available modules. Note that the options displayed depend on individual staff permissions.
    • Attendance - Opens the Attendance module (only displayed if permissions allow).
    • Skills - Opens the Skills module (only displayed if permissions allow).
    • Time Clock - Opens the Time Clock module (only displayed if permissions allow).
    • My Schedule - Opens the “My Schedule” module to view events assigned to the staff member for the selected date.
    • Log Out - Logs the staff member out of the Staff Portal.
    • My Account - Allows the staff member to edit their email address, password, or phone number.
    • Support - Opens iClassPro’s Support page.
    • Office Portal - Opens the full iClassPro application with limited mobile compatibility.

How permissions affect what staff see

  • Staff members only see modules (Attendance, Skills, Time Clock, etc.) when their permissions allow access.
  • If an option is not visible, an administrator may need to update staff permissions.

Filter and search the Attendance event list

  1. Navigate to the Attendance module (if available in the menu).
  2. Use the filters at the top of the page to adjust what appears in the event list:
    • Date filter - Changes which day’s events are displayed.
    • Class/Camp/Appointment list (displayed by default) - Adjusts which classes/camps/appointments appear in the list.
    • Search tool - Helps locate a specific event more quickly.
    • Filter options
      • Event type (Class/Camp/Appointment)
      • Start time
      • Location
      • Instructor(s)
      • Program
      • Zone
      • Advanced Options – may differ per event type
  3. Review the updated list of classes/camps/appointments shown below the filters.

You can identify event types using the colored line indicator:

  • Classes - Blue line.
  • Camps - Orange line.
  • Appointments - Purple/magenta line.

Using the quick attendance indicator

In the class list, look for the check mark icon next to each class. The check mark color indicates attendance status:

  • Green check mark - Attendance has been recorded for the class on the selected date.
  • Light gray check mark - Attendance has not been taken.

Troubleshooting & FAQs

  • Why do I not see Attendance, Skills, or Time Clock in the Staff Portal menu?
    • Which modules display are based on the staff member’s permissions. If a module is missing, an administrator may need to update staff permissions.
  • Why does the System log me out even if I am entering information?
    • iClassPro logs staff out after one hour of inactivity. Simply entering information does not count as activity until an action such as SUBMIT, SAVE, or CREATE is selected.
  • What does the light gray check mark mean next to a class?
    • A light gray check mark indicates attendance has not been taken for that class on the selected date.
  • Can I use the Office Portal from my phone?
    • The Staff Portal menu includes an Office Portal option, but the Office Portal has limited mobile compatibility.
