IN BRIEF:
Family and Student Custom Fields allow you to capture additional information that is not included in the default fields within iClassPro. These fields can be used internally by staff in the Office Portal, displayed to families in the Customer Portal/Mobile App, and referenced in Email Blasts. Once created, these fields appear on all applicable Family or Student profiles.
Overview
Family and Student Custom Fields are user-defined fields added to Family or Student records to store additional details specific to your needs. These fields can be:
- Used internally by staff via the Office Portal
- Made visible and editable to families through the Customer Portal/Mobile App
- Inserted as variables in Email Blasts
While iClassPro also offers similar fields for Classes and Staff, Family and Student Custom Fields integrate more widely throughout the System, making them useful for collecting general account or student information.
Once created, Custom Fields appear under the Custom Fields tab for all applicable Families or Students.
Accessing the Feature
To create and manage Custom Fields:
- For Family Custom Fields:
- Navigate to SETTINGS > SETUP > FAMILY SETTINGS.
- For Student Custom Fields:
- Navigate to SETTINGS > SETUP > STUDENT SETTINGS.
Step-by-Step Instructions
Creating a Family Custom Field
To add a new custom field to family records:
- Navigate to SETTINGS>SETUP>FAMILY SETTINGS.
- Expand the "Family Custom Fields" area.
- Select ADD NEW CUSTOM FIELD.
- In the “Create Custom Field” dialog:
- Name: Enter a descriptive name (this will be shown on all applicable screens).

Field Type: Choose one of the following:
- Text – single-line input (max 255 characters)
- TextArea – multi-line box (max 255 characters)
- Show on Portal: Enable this option if families should be able to see/edit this field in the Customer Portal.
- Required on Portal: Enable this option if families must complete this field to save account changes in the Customer Portal.
- Click CREATE to save the new Custom Field.
Creating a Student Custom Field
To add a new custom field to student records:
- Navigate to SETTINGS>SETUP>STUDENT SETTINGS.
- Expand the "Student Custom Fields" area.
- Select ADD NEW CUSTOM FIELD.

Reordering Custom Fields
To change the order in which Custom Fields are displayed, use the up/down arrows in the "Actions" column of the Custom Field list to reorder them as desired.
How Custom Fields displayed on the Customer Portal
Family Custom Fields are shown under the Family details in the "My Account" area under the "Account Information" section. There is a shortcut to this section in the navigation bar at the top of the screen (as shown below):
Student Custom Fields are shown under the Student details in the "My Account" area under the "Student Medical Information" section:
Referencing Custom Fields in Email Blasts
When composing an Email Blast, you can insert Family or Student Custom Field values by using the “Variables” menu.
To do this:
- Select the Variables button from the toolbar.
- Hover over the "[Page] Custom Fields" submenu.
- Choose from the list of available custom fields (e.g., “Family Vehicle,” “Student Nickname”).

Troubleshooting & FAQs

Can Custom Fields exceed 255 characters?
- No. Both Text and TextArea fields support a maximum of 255 characters.

Can I delete a Custom Field once it has been created?
- Custom Fields can be deleted; however, doing so permanently removes any stored data associated with that field.

Do Custom Fields support dropdowns, checkboxes, or other input types?
- No. Family and Student Custom Fields currently support only Text and TextArea input types.

Why is a required Custom Field not prompting families to complete it?
- Verify that Show on Portal is also enabled. Required fields must be visible to function as required fields.
