IN BRIEF
Camp Pricing Schedules determine how tuition is calculated for camp enrollments in iClassPro. These schedules allow administrators to configure flat or block-based pricing, apply sibling discounts, and define special or early bird discounts.
Overview
A Camp Pricing Schedule defines how the System calculates tuition for camp enrollments.
It supports:
- Flat-rate pricing for single-day camps
- Block-based pricing for multi-day or multi-session camps
- Sibling and special discount options
At least one pricing schedule must be created before a camp can be saved.
Accessing the Feature
- Navigate to SETTINGS>SETUP>CAMP SETTINGS>PRICING SCHEDULES.
- Select Create New to build a new pricing schedule or select an existing one to edit.
Step-by-Step Instructions
Creating a Camp Pricing Schedule
- Select Create New.
- Enter a name for the Pricing Schedule.
- Choose how to count students/attendees:
- If applicable, enter a Deposit Amount for each student:
- Can be a dollar value or percentage of tuition.
- Percentage-based deposits apply to tuition only and exclude additional costs from user-defined questions.
- Enter the Full Pricing for each block combination (include deposit amounts in totals).
- To define Special Discounts, open the Special Discounts tab:
- Configure discounts for families marked as members, employees, or in service.
- Define Early Bird Discounts (if applicable).
- Select Save to finalize the schedule.
Important Note: Early Bird Discounts cannot be applied to enrollments made through the Customer Portal, as portal enrollments charge tuition immediately and do not allow Early Bird cutoff dates.
- For details, see What are Early Bird Discounts?
Understanding Camp Blocks
A camp block is a specific time and date that a camp meets. Camps may use a flat price or charge per block, with cumulative discounts as applicable.
Single Block Example
If a one-day training camp runs from 9:00 AM–2:00 PM at a flat rate of $150, create a pricing schedule with:
- One block (i.e., one row, one column)
- Designate the fee per student for the entire camp ($150 total)
Multiple Block Example 1 (multiple enrollments allowed per block)
A week-long camp runs Monday–Friday (5 days). Students can register for between 1–5 days from 10:00 AM–3:00 PM.
Pricing increases with the number of days but includes cumulative discounts:
- 1 day – $20
- 2 days – $30
- 3 days – $40
- 4 days – $50
- 5 days – $55
Pricing is cumulative down the list; each row represents the total tuition for that number of days/blocks.
Multiple Block Example 2 (maximum one enrollment per block)
For recurring one-on-one lessons every Saturday:
- Multiple available time slots: 10:00 AM–12:00 PM, 1:00–3:00 PM, and 4:00–6:00 PM.
- However, only one student can book each camp block.
- Use a flat price schedule:
- One block (i.e., one row, one column)
- Designate the fee per student for the entire block ($150 total)
Example Pricing with Sibling Discounts
Children can enroll in this camp from 1 day/block up to the full 5 days/blocks. The price will vary for the number of days enrolled.
For 1 day, we charge $20. Each additional day up to 4 is another $10.
If the child is enrolled the full 5 days, the tuition is discounted to $55.
For a second sibling, an additional $5 is discounted from Student 1's price.
For a third sibling or more, the total price is decreased by $10 from Student 1's price.
The pricing schedule for this camp, offering variable pricing over five days with sibling and multi-block discounts applied, would look like this:
- 1 day/block –
- Student 1: $20
- Student 2: $15
- Student 3: $10
- 2 days/blocks –
- Student 1: $30
- Student 2: $25
- Student 3: $20
- 3 days/blocks –
- Student 1: $40
- Student 2: $35
- Student 3: $30
- 4 days/blocks –
- Student 1: $50
- Student 2: $45
- Student 3: $40
- 5 days/blocks –
- Student 1: $55
- Student 2: $50
- Student 3: $45
Troubleshooting & FAQs
-
Why is my Early Bird Discount not applying to online enrollments?
- Early Bird Discounts cannot be applied through the Customer Portal because charges are generated immediately upon enrollment, with no opportunity for staff to designate an Early Bird Date.
-
Can I create multiple pricing schedules for one camp?
- No. Each camp can reference only one pricing schedule, but that schedule can include multiple block and sibling pricing options.
-
Does the deposit amount apply to each sibling?
- Yes. Deposit amounts are defined per student based on the pricing column configuration.
