How Can I Update the Data Source in Power BI?

This article explains how to update the Source URL used by a Power BI template when your data source location changes or when you receive new credentials. Updating the data source ensures that your Power BI reports continue to connect correctly to the iClassPro Data Warehouse. 

The features described in this article are only available to customers who have the necessary credentials to access to the Data Warehouse.

Overview

Power BI templates rely on a defined Source URL to connect to the iClassPro Data Warehouse. If your data source address changes, or if you are issued new credentials, the existing connection must be updated within Power BI. This process is completed in the Power Query Editor and must be applied consistently across most queries in the template.

Accessing the Feature

  1. Open your Power BI template file.
  2. Ensure the template has finished loading before making any changes.

Step-by-Step Instructions

  1. After loading your template, select Home from the toolbar at the top of the screen.
  2. In the Queries section of the toolbar, select Transform Data to open the Power Query Editor window.

  3. In the Queries panel on the left-hand side, select Families.
  4. In the Query Settings panel on the right-hand side, locate the APPLIED STEPS section and select Source.
  5. Select the down arrow to expand the formula bar.
  6. Edit the query by replacing the value in the first set of quotation marks with the new Data Source URL.
  7. Select Edit Credentials below the query.
  8. Enter the credentials that were provided to you.
  9. Repeat steps three through six for all queries listed in the Queries panel, except:
    • Date Query
    • Dates
  10. Once all applicable queries have been updated, select Close & Apply to save and apply your changes.

Troubleshooting & FAQs

  • Do I need to update the data source for every query in the template?
    • Yes. The Source must be updated for all queries except Date Query and Dates to ensure consistent data connections.
  • What happens if I do not update the credentials after changing the Source URL?
    • Power BI may fail to refresh data or display connection errors until valid credentials are entered.
  • I do not see the formula bar. How do I edit the Source URL?
    • Select the down arrow in the Source step to expand the formula bar and view the full query.
  • When should I use “Close & Apply”?
    • Use Close & Apply only after all required queries have been updated so changes are applied at the same time.
