Submitting Future Absence Requests in the Parent Portal

iClassPro gives you the option to allow parents to record their own future absences via the Parent Portal. You decide whether these will be automatically approved or submitted as requests.

The option can be enabled under SETTINGS>SETUP>PARENT PORTAL>GENERAL SETTINGS. 

Enabling the Option to Allow Future Absence Requests:

  • Allow Future Absence Requests – must be enabled for the option to show on the Parent Portal.
    • Auto-Approve Future Absence Requests – If enabled, all future absences created through the Parent Portal will be automatically approved. Auto-approved requests will be marked Unexcused by default. If the absence should be excused, it will need to be marked as such when attendance is recorded.
    • Limit Absence Start Date to At Most X Days From Today – families will only be able to submit a future absence request for the number of days specified here. For example, if you enter “14”, they will not be able to request an absence for any further than 2 weeks from the current date.

Requesting a Future Absence in the Parent Portal (For Families)

After logging in, choose “Future Absences” under ENROLLMENTS in the navigation menu on the left-hand side.

Click the down arrow to the right of the student for whom you wish to mark a future absence:

  • Create Future Absence By Date – allows you to specify a date when your student will be absent.
    • Will this absence span multiple days?
      • Yes – choose a start/end date for when the absence will occur
        • All Day
          • If enabled, the student will be marked with an expected absence for any enrollments on the selected dates
          • If disabled, the student will only be marked with an expected absence for enrollments during the selected time frame.
      • No – choose a single date when the absence will occur
        • All Day
          • If enabled, the student will be marked with an expected absence for any enrollments on the selected date
          • If disabled, the student will only be marked with an expected absence for enrollments during the selected time frame.
    • Leave an optional comment
  • Create Future Absence By Enrollment – allows you to choose a specific enrollment for which your student will be absent. This will default to the current date.
    • Choose the date for which the student will be absent from the calendar.
    • Chose the enrollment(s) for which the student will be marked with an expected absence.
    • Leave an optional comment.

A request will be submitted for staff to approve the expected absence (unless the option to auto-approve future absence requests in enabled). The request will show “Pending” as the status until it is approved by Staff.

Approving Online Activity (For Staff)

Once a request for a future absence has been submitted, it will appear in the Online Activity:

  • Click the “X” next to the Online Activity entry to deny the future absence.
  • Click the “+” next to the Online Activity entry to approve the future absence. You will be prompted to choose whether or not to mark the expected absence as “Excused”.
