Student List Report (STU-1)

Available formats: HTML/PDF/XLS/CSV

The Student List Report is a list of students in your database, along with the names of their primary and secondary guardians and phone numbers.

NOTE: Chosen filters that relate to enrollments will produce results that are true as of the day you generate the report.

Available filters are:

  • STATUS:
    • All – all students, regardless of enrollment status
    • Active – only students with an active enrollment
    • Inactive – only students who do not have an active enrollment
  • DATE FILTERS: allows you to specify a specific date range that will be applied to the STATUS filter. If you do not set anything here, the system will default to the current date. (Because students are only considered active/inactive based on enrollment within the chosen date range, this filter will not have any effect on the results if the STATUS filter is set to “All”.)
    • Active Before – will only look at students that were ACTIVE before the selected date.
    • Active After – will only look at students that were ACTIVE after the selected date.
    • Active During – will only look at students that were ACTIVE at some point during the selected date range.
    • Inactive Before – will only look at students that were completely INACTIVE before the selected date.
    • Inactive After – will only look at students that were completely INACTIVE after the selected date.
    • Inactive During – will only look at students that were completely INACTIVE throughout the selected date range.
  • SESSION: select a Session to limit the report to only students with an active enrollment in a class associated with that session. (Because students are only associated with a Session when an active enrollment is present, this filter will not have any effect on the results if the STATUS filter is set to “All” or “Inactive”.)
  • PROGRAM: select a Program to limit the report to only students with an active enrollment in a class associated with that program. (Because students are only associated with a Program when an active enrollment is present, this filter will not have any effect on the results if the STATUS filter is set to “All” or “Inactive”.)
  • LEVEL: select a Level to limit the report to only students with an active enrollment in a class associated with that Level. (Because students are only associated with a Class/Level when an active enrollment is present, this filter will not have any effect on the results if the STATUS filter is set to “All” or “Inactive”.)
  • CLASS: select a Class to limit the report to only students with an active enrollment in the class. (Because students are only associated with a Class when an active enrollment is present, this filter will not have any effect on the results if the STATUS filter is set to “All” or “Inactive”.)
  • BILLING SCHEDULE: select a Billing Schedule to limit the report to only students with an active enrollment associated with the selected Billing Schedule. (Because students are only associated with a Billing Schedule when an active enrollment is present, this filter will not have any effect on the results if the STATUS filter is set to “All” or “Inactive”.)
  • DAY OF THE WEEK: select a Day of the Week to limit the report to only students who attend class on the selected day. (Because students are only associated with a particular day of the week when an active enrollment is present, this filter will not have any effect on the results if the STATUS filter is set to “All” or “Inactive”.)
  • INSTRUCTOR: select an Instructor to limit the report to only students enrolled in a class assigned to the selected Instructor. (Because students are only associated with an Instructor when an active enrollment is present, this filter will not have any effect on the results if the STATUS filter is set to “All” or “Inactive”.)
  • KEYWORD: select a Keyword to limit the report to only students who are associated with a particular Keyword.
    • Family Keywords – the family keyword must be assigned to the family.
    • Student Keywords – the student must have the selected keyword assigned.
    • Class Keywords – the student must have an active enrollment in a class with the selected keyword assigned.
    • Program Keywords – the student must have an active enrollment in a class attached to a Program with the selected keyword assigned.
  • SHOW AGE AS: choose how you would like the student’s age displayed on the resulting report:
    • None – does not include an area for student age on the report.
    • Age – displays the student’s age as of the day the report is generated.
    • Birthdate – displays the student’s birthdate.
  • COLUMNS: additional options for columns that can be added to the report.
    (NOTE: adding too many columns can render the PDF version of the report unusable as the system will compress or cut off columns to fit on a single page. If you need to add a large number of columns, you will need to generate the report as XLS or CSV so you can manipulate how it prints in an external program such as Excel. The HTML version may be useful just for viewing the data onscreen.)
    • Show Association ID
    • Show Gender
    • Show E-Mail
    • Show Student Keywords
    • Anniversary Charge Eligibility Date
    • Show Roll Sheet Comment
    • Show Balance Due
    • Show Last Payment
    • Show Address
    • Show Classes (the following options require “Show Classes” to be checked)
      • Show Levels
      • Show Instructor
      • Show Class Timeslots
      • Show Enrollment Notes
      • Show Start And Drop Date
      • Show Class Tuition
    • Show # of Makeup Tokens
  • LOCATION OPTIONS: If there is more than one active location on the account, results will only reflect the currently selected location if using the “Active” status. (For example, if you select a status of “ACTIVE”, the family must be active in the selected location to be included in the results.)
    • Include All Locations – select this option to have the system consider enrollments in all active locations, not just the selected location.
