Simple Class Attendance Module

We are missing a simple way to take Class Attendance.  It was in Ver1 but gone in Ver2.

Nearly all our coaches/teachers have iPhones or Android smart phones.   They could take class attendance quickly and easily before.  Now having to negotiate the whole IClass interface on a phone is too hard to be effective.

We need a simple web portal that would allow them to log into our account, choose their class for that day, take attendance.   Once you got into the habit of doing it, I had coaches that could do this in less than a minute.   Ease of use and Timely operation are paramount here.   If it takes too long to do or is too many steps, the coaches/teachers will blow it off.


A simple operation is all that is needed.

Log In.

Choose Class (day always defaults to that current day)

Choose Students in attendance (Radio buttons, Check boxes, etc.) 

Log out

This would be TERRIFIC.  Right now we try to have manual attendance sheets scanned over and then we put in the attendance.  Also, it would be nice if we could add reasons for absenses.  We currently chart why they are missing and do not have that ability in the system.  If next to each student it could have radio buttons (and a notes field) and then you could do down the list and select the appropriate radio button for each member of the class and then when you are all done, click save that would be the best.  Right now you have to mark who is there and then go back and mark who isn't, very repetitive and takes too long.

I also agree with Jef and Renee!  This would be a great function but if it takes coaches too long to mark attendance for each student, they won't do it.  Please make this function available in a more practical, time-saving way!?!

Do I need to put out full PCs everywhere?

Looks like you guys implemented this yesterday.  My staff was almost in tears of joy.  We even took attendance on an iPad last night.  Thank you for this.

In v2 go to classes page and it is where you would find the old version of the attendance module.

But is there a direct url link?   Something I can put in a mobile or kiosk style computer station? 

While I like the simple look now, it is entirely too time consuming to get to when you have 8 classes starting at the same time.

What's the word Mr. Byrd?

We have a computer station in our gym area that I put a shortcut to iClass on the desktop.  Then I created a very simple user code and password that only has rights to attendance.  I havent tried it yet, but I think you can do the same on an iPad or iPhone.

I agree with you though that being able to have a url that goes directly to the classes page and lets you put in a user code and password in the url would save time.  I could even default the filter to the day of today.  For example when you use this url today it would take you to the classes page and default in Tuesday in the Days filter.  That way it would only show classes for today.

Thanks for the update Donnie.   Looking really good so far.  


Big question I have is there a direct URL link to the attendance module like we had in Version 1?   I would rather not have to teach 14 employees 5 steps to get to the module as it is now.  When you have 8 classes starting at the same time, each click is time and money.

I just timed it out for our application.  7 clicks to get to the attendance display.   That is a lot of room for error.

The interface is simple enough to take attendance.  Now we need a simpler way to get directly there.

I would like to see an easier way to add walk ins for classes. Also a note field for why they were absent so we can have it excused  or unexcused.

I totally agree with Jason... a note field would be awesome as we will still have to keep track on a separate system so that we know why they were missing.

Looks good so far Donnie. I like the clean look alot. I just looked at it on my iPhone and we seem to have classes in the display that should not be there. I will see what I figure out once I get back to the office. Thanks very much to listening to our need and responding. Now if I only could get discounts on buying 10 iPads at once.

Having some issues on the proper way to set this up.

Questions:
1.  Is there tracking in the database being done on a per logged in user taking attendance?  For instance if Coach Bob takes attendance for his class, is it recorded that he did it?  Or is the only record whether or not someone was marked absent or present?   Which means anyone can take attendance for any class right?

2.  A follow up to Question 1, IF there is no instructor tracking going on, then would it be simpler to just create a generic Attend Ance staff member logon that's sole purpose is to remain logged in to take attendance?

3.  Permissions:  I tried and tried to get the right settings to allow attendance and that only.  Just not understanding the rule structure.

Ended up calling again and spoke to someone at the office.


Answers to my dilemma:

1.  Classes only that the person logging in are shown.  So each instructor has to login individually in order to see their classes.  No way a generic login would work.

2. No way a generic login would work unless they were listed on each class as instructor which then would just look weird on the website and parent portal list

3.  FINALLY figured out what was wrong.  First line under permissions.  Access to iClassPro selectable as None or FULL.  This is where I was going wrong.  When I read that line, FULL means I am granting FULL access to that user for iClass Pro.  HINT HINT: That should be re-worded to Check Full if you want to be able to log in at all.  or Something stupid simple.   I didn't want to check FULL because I don't want all my coaches having FULL access.  At least that is how I read it.  (about 37 times)

 

So we also figured out that there were a TON of classes carrying over and showing up on each day of attendance from past sessions.  Classes had not been made inactive at the end of the session.  We went through and cleaned that up and it all looks to be working now.  Finally.

 

Hope this info helps someone else that is going thru the same or similar issues.

@Jef: Thanks for your valuable feedback.

I do want to point out out two permissions in the staff permissions (see screenshot). The first permission in red that says "Application Access: iClassPro" determines whether or not the user can login to iClassPro or not. It does NOT give them full permissions.

The second permission that is in red says "See All Classes on Attendance Module." That means a user can not only view classes that they are an instructor for, but they can view all classes and mark attendance for them. I hope this helps!

Donnie,

I have classes appearing that are either Inactive or classes that were inadvertently added during the setup process and then deleted so I can't even get to them but they are appearing on the attendance module.  See example of classes that I have attached that are listed for today.

Also, in the process of the other enhancements you guys are in the process of adding, is there anything that is going to allow us to make a "note" for a person for that day?  For example, someone is absent and we want to make a note that it was excused because they were at a funeral.

Special icons have been added next to students who are either Trial or Makeup students. I hope this helps!

Also, there is a link at the top right of the login page to go straight to the attendance button!

This is GREAT but what we think would make it even better is if it had the same icons that a roster would have.  For example, if the child is having a birthday during the session...etc.  Maybe we aren't seeing something correctly, however!
